Quotations

The quotation is the starting point of your workflow in Robaws: from quotation to project to invoicing. In this article we go through the overview screen, how you create a new quotation and how the quotation file is structured. The quotations module is included in every Robaws licence.

Overview screen

In the overview screen of your quotations you can:

Creating a new quotation

There are two ways to start a new quotation:

  1. from the overview of your quotations, with the plus sign at the top
  2. from another file (a customer or a project, for example), with the plus sign next to 'quotation'

In both cases you get to see the list of your quotation templates. If you only have one template, Robaws skips that selection list.

A template is either a simple or a calculated quotation. That distinction determines how you build up the quotation and whether you can recalculate later on.

Explanation of the quotation file

The numbers below refer to the numbers on the image.

The quotation file

  1. At the top you see the number of the quotation, with a number of action buttons next to it. Robaws assigns that number automatically. You determine how it is built up in the settings of your quotations, and you can change the number of a single quotation manually with an action button.
  2. The quotation details are partly filled in automatically. These are standard fields, but you can add extra fields to keep track of structured information of your own. The project address comes from the customer file. If the project address of this quotation differs from the customer address, you simply overwrite it.
  3. Below that you find five tabs: quotation, remarks, files, tasks and financial planning.
  4. At the bottom right you see the total amount of the quotation.

Changes on a quotation only apply to that quotation. So you can change a description, a post, a price or the financial planning without your template, your items or your posts changing along with it. The same is true the other way round: if you adjust a price or a post in Robaws later on, an existing quotation does not change along with it.
