Changing the prices on a quotation

The prices on a quotation come from the item file or from the post. There are various ways to deviate from that — automatically, through arrangements you set up in advance, or manually in the quotation itself.


Automatically, based on arrangements:


  • Tier prices — a different margin, discount or selling price from a certain quantity onwards.
  • Price groups — a different margin, discount or selling price for a group of customers.
  • Special rates — a different selling price for one customer or project.


In the quotation itself:



In addition, your margin, a direct or indirect cost, a commission and a surcharge or discount also influence the prices on your quotation.


Price update


With a price update you bring in the current prices again. Under quotation > detail, click the Update prices button. If you only want to update part of it, first tick the lines you want; you can also start the update via the right mouse button with Selected posts: Update price.


A price update is far-reaching: it changes all prices and can also recalculate the entire composition of the post. Take a copy of your quotation first.

Update cost price and sales price takes both prices from the item file. Update cost price and keep margin only refreshes the cost price and recalculates the selling price with the margin that is on the line.

Create a (deleted) copy of this offer as backup

Is switched on by default. Robaws keeps a copy of the quotation in the deleted items, so that you can fall back on it. Leave this switched on.

Use item description everywhere

Also overwrites the descriptions on the lines with the description from the item file. If you have adjusted descriptions in your quotation, leave this switched off.

All lines or Selected lines

Determines which lines the update works on. At the bottom you see the number of selected lines.


Click Change to start the update.


Is your default margin set to 'apply automatically'? Then you cannot use the 'Update cost price and sales price' strategy and you will get a message. In that case choose 'Update cost price and keep margin'.


Bulk price change


Does one item occur several times in your quotation and do you want to change its selling price across all the lines in one go? Under quotation > detail, click the '...' action button next to webshops and choose Change item price. You get a list of all the items in the quotation; choose the item and adjust the unit price.


The change applies to every line in which that item occurs, both on the quotation line itself and in the line detail. The item file itself remains unchanged.


Changing the item price across all quotation lines


In the same menu you will also find Replace article, with which you replace an item with another item throughout the entire quotation.


Manual price change


  • In a simple quotation you click the price and adjust it.
  • In a calculated quotation you click the price, the line detail opens and you adjust the cost price, the margin or the selling price there.
  • Do you want to fix the price on the quotation line itself, for example to round off the price of a post? Then click the price, go to the Lay-out tab in the line detail and tick Custom price. You can now enter the price on the quotation line manually.


As soon as Custom price is switched on, the calculation in the line detail no longer determines the price. Later changes in the line detail therefore have no effect on the selling price. A commission is no longer added on top of such a line, but is deducted from your margin.
