What is the difference between a customer and an end customer?

Sometimes you want to mention several parties on a quotation, a project or an order: the managing agent and the resident, the owner and the tenant, the contractor and the architect. You use the customer and end customer fields for that.

The big advantage: the document is linked to both parties. So you find the same quotation whether you search on the name of the tenant or on that of the owner.

Concept

The customer is the party the document is addressed to. They sign the quotation, they receive and pay the invoice.

The end customer you add for information, for example:

  • the architect who contacted you;
  • the tenant of the house where the works are carried out;
  • the resident of the flat for which the managing agent requests a quotation.

Customer and end customer are not two types of file. They are two roles of the same customer file, so you create them both in the 'customers' module.

Use

  1. Switch on the End customer toggle under settings > general > settings and save.
  2. On your document, fill in the end customer alongside the customer.

The end customer field appears on the quotation, the project, the order, the subscription, the planning item, the work order and on equipment and installations. On the invoice there is no separate end customer field: there the 'customer' field determines who is invoiced.

Customer or end customer on the PDF?

Under settings > general > pdf > Client info on PDF you choose who appears on your documents:

  • Always show client on PDF
  • Always show end client on PDF, with fallback client — the default setting. If no end customer has been filled in, Robaws falls back on the customer.

Apart from that, you are free to determine the layout of every PDF, and with replacement codes you can insert the customer or the end customer wherever you want.

Questions

How do I invoice several customers?

Not via customer and end customer. Use the allocation key for that.

I do not know the name of the end customer yet

No problem. Leave the field empty in the quotation and complete it later on the project.

I have to invoice the end customer

On the invoice you decide yourself who takes on the role of customer — that is the party being invoiced. Set the end customer as the customer on the invoice, so that the invoice is made out to the correct party.
