Working with tasks

A task is a work assignment that an executor has to complete by a due date. The executor is always a user. You create and edit tasks in Robaws, in the Robaws App and in Wappy.


Example: after taking measurements on site, a tailor-made quotation has to go to the customer. From the customer file you create a task for the colleague who draws up the quotations, with the deadline in it.


With automation you have tasks created automatically after a particular action.


Tasks in Robaws


You find the overview of your tasks at the top right, via the action button with the tick. The orange number next to that action button is the number of open tasks. In the overview you see all scheduled tasks, and you can filter to limit the list.


When you open the task overview, the 'status' and 'executor' filters are already filled in. Clear them if you want to see the full list.


There are two ways to create a task:


  1. From the task overview - a standalone task.
  2. From a module (customer, quotation, project, order, etc.) - the task then automatically gets a link to that document via the 'Concerning' field.


These are the standard fields on a task. You can also add extra fields to it.


Field

Explanation

Title

The title of the task.

Created

The date on which the task was created. You cannot change this field.

Due date

The date by which the task has to be completed.

Status

The status of the task.

Reporter

The user who enters the task.

Executor

The user who has to carry out the task, so the assignee.

Description

Extra information about the task.

Form

A form that is filled in in Wappy. Once it has been filled in, the file is attached to the task.

Concerning

The document that the task relates to. This is filled in automatically if you create the task from a module and cannot be filled in manually.


Statuses


By default you have three statuses: To do, Active and Done. You can create extra statuses yourself. Every status sits under one of three categories (to do, active or done). That category determines whether a task counts as open in the number next to the action button.


Robaws does not send an automatic notification on the due date. If you want such a reminder, you build it with an automation.


Tasks in Wappy


You can also show tasks in Wappy. To do so, activate Settings > work orders > wappy > show tasks. After that you switch on the toggle per task to make it visible in Wappy.


The tasks that appear in Wappy are the ones attached to a project, order or dayplanning. If you create a task directly in Wappy, it ends up on the order, otherwise on the project, otherwise on the dayplanning - whichever is available first.


What you can do with a task in Wappy:


  • change the status
  • add an executor
  • add a remark
  • add documents
  • add a description
  • add a due date
  • fill in the linked form


Tasks in the Robaws App


The Robaws App has a 'tasks' module. You do not have to activate anything in the settings for this. There you see all tasks from the task overview in Robaws. Tasks that you create in the app end up in that same overview.


What you can do with a task in the app:


  • change the status
  • add an executor
  • add a remark
  • add documents
  • add a description
  • add a due date
