Working with extra fields

Extra fields are used to store specific, tailor-made information that cannot be recorded in the standard fields in Robaws.
They refer to additional data belonging to a specific module.
Using extra fields is handy for keeping important information neatly structured.


Example:
Do you want to show on your customer file how contact with the customer was established? Then you can create an extra field for this.
You draw up a combobox with the possible options (e.g. trade fair, website, referral, etc.)


Use


You can use extra fields for the following features:


  • Overviews: you can show a standard field as a column in the overview screen
  • E-mail template: in an e-mail template you can display the value of an extra field by using the replacement code
  • Default documents: in a default document you can display the value of an extra field by using the replacement code
  • Automation: an extra field can be used in an Automation flow
  • Extra fields in Wappy: you can have your employees fill in extra fields in Wappy
  • Extra fields for DICO: by using the replacement codes in the extra fields of your order template, you can process the information in the order.


Tip: if you create the same extra fields in different modules, the content of the fields can be copied across automatically.


Creating an extra field


Via Settings > module of your choice > extra fields you can create the extra fields.


Name

Give your extra field a name. If you want to use the field as a replacement code or in another module, pay attention to the spelling (case and space sensitive).


Type

You can use several different types:

Text

Used for entering short text.

Text field

Used for entering long text.

Date

Used for entering a date.

Integer

Used for numbers without decimals.

Decimal number

Used for numbers with decimals.

Combobox

Used for entering a choice from a predefined list. You draw up this list yourself here.

CheckBox

Used for entering a yes-no choice.

Link

Used for entering a URL link.

E-mail

Used for entering an e-mail address.

Telephone

Used for a telephone number that you can call from your device with one button.

Customer

Used for adding a customer from the full customer list in your environment.

Supplier

Used for adding a supplier from the full supplier list in your environment.


Group

The extra fields can be conveniently grouped in a frame, so that everything stays clear. On the extra field, state under which group (title) it should appear.
For all extra fields that should appear in this group, you fill in exactly the same group.


Example: below, 'Extra info' has been filled in as the group, both for the extra field 'Requested installation date' (type = date) and for the extra field 'Via' (type = combobox).

Displaying an extra field on a document


You can display the content of this extra field in several places:

  • on a PDF
  • in a mail template
  • in a default document
  • in standard texts


You do this by placing the replacement code of this extra field on the PDF, the mail template, and so on.
