Working with forms
In Robaws you can set up a questionnaire or checklist in the shape of a form, so that it can be filled in via Wappy or the Robaws App.
Example:
We create a form 'cleaning certificate central heating boiler'. This form has to be filled in by all workers who carry out the cleaning of a central heating boiler.
It contains a number of essential questions that are mandatory to fill in.
Creating a form
You create a form via Settings > General > Master data > Other. To be able to use forms, you first have to switch on the toggle here.
To create a form, go through the following steps:
- Go to Settings > General > Master data > Other.
- Click the + sign to create a new form.
- You build up your form using several sections. (Put them in the right order straight away, because a section cannot be moved afterwards.)
- Under every section you can add one or more questions (multiple choice, date, time, text, number, description, photo, signature, checkbox or drawing).
- You can choose to make a question mandatory.
Type 'description'
The type 'description' is meant to be shown internally (while filling in the form) and will not be shown on the pdf.
Do you want the description to appear on the pdf after all?
- tick 'show on pdf' at the bottom right
- make sure that the same section contains at least one other question (tip: make it mandatory)
- the description is only shown on the pdf if an answer was given to at least one question in that section AND the tick box is switched on
Once a form has been created in the settings, you can link that form to a planning item or a task.

Filling in a form
If a form has been added to a planning assignment or a task, you can fill it in via the Robaws App or Wappy.
- Form added to a planning item: you fill in this form via Wappy.
- Form added to a planning item or task: you fill in this form via the Robaws App or Wappy.
Robaws App
A form that has been added to a task can be filled in via the Robaws App. Go through the following steps:
- In the Robaws App, navigate to the 'tasks' module.
- Open the task.
- Click the name of the form to fill it in.
- Use the arrow to go back and save the answers.
The Robaws App and Robaws synchronise automatically, so the answers from the app are turned into a PDF in Robaws straight away.
You can reopen the form in the Robaws App to change the answers and synchronise with Robaws again.
Wappy
A form that has been added to a planning item can be filled in via Wappy. Go through the following steps:
- In Wappy, open the work order that the form is linked to.
- You find the form under the 'extra' tab on the work order.
- Click the name of the form to fill it in.
- Use the arrow to go back and save the answers.
If the form contains mandatory fields, the work order cannot be sent through to Robaws until those fields have been filled in.
You recognise the mandatory fields of the form by the red asterisk next to the question.
If the planning item contains a task with a form linked to it, you can fill that in in Wappy as well.
Processing in Robaws
- Robaws App: as soon as the form has been filled in and saved, you find it as a PDF document in the task under the 'forms' tab.
- Wappy: as soon as the work order is sent from Wappy to Robaws, you can consult it immediately under the 'work orders' module. The form is added to the work order as a PDF document under the 'forms' tab. If a form is linked to a task, you can consult that form with the task.
If you want, you can also send the PDF of the form to the customer by e-mail. To do so, you tick the attachment while composing the e-mail.
