Financial planning on a quotation and project

Both in the quotation and in the project you will find a financial planning tab.
This tab is used to set up the invoicing of your quotation if you want to invoice it in instalments (phases).


For your information: you can also invoice a quotation in other ways: all at once via the action button at the top of the quotation, or on the basis of a progress claim.


Financial planning on a quotation


Preparation

You can define a number of instalments in advance; this can be a **percentage **(as in the image below) or a fixed amount.
For the last invoice, choose "final invoice" in the "invoice" column.
Via the settings you can set these instalments in your quotation template, so that you do not have to fill them in every time.
If necessary, you can **deviate **from the template by adding or removing an instalment.


Invoicing

To invoice an instalment, hover with your mouse over the line you want and click "€ Invoice". Robaws then creates a new invoice for the amount of that instalment. This invoice has the status "draft" and is not sent to the customer automatically.


You can also invoice several instalments at once: tick the lines you want on the left and then click the "€ invoice" button at the bottom. In this way several phases end up together on one invoice.


You can quite happily skip instalments. The final invoice takes into account all the invoices that were created or assigned here.
If an invoice already exists for this quotation, you can assign it via the "assign invoice" button.


As soon as an instalment has been invoiced, the amount and the invoice number appear next to the invoicing instalment. Using the arrow icon to the left of the invoice, you click straight through to that invoice.


Financial planning


Invoice lines

You can set how the lines on the invoice look:

  • if it concerns a percentage, one invoice line is created. What is stated on that line is determined via settings > quotation > settings > Invoice percentage from phase.
  • if it concerns a fixed amount, one invoice line is created. What is stated on that line is determined via settings > quotation > settings > Invoice fixed price of phase.
  • if it concerns a final invoice, all the quotation lines are carried over to the invoice and the previous instalments are deducted at the bottom.



Financial planning on a project


The financial planning you have set up on the quotation is automatically carried over to the financial planning on the project it is linked to.
This applies only to the quotations that are set to active on the project.
If several quotations are active on the project, you will see separate tabs, each with the financial planning for one quotation.


Invoicing the instalments works in the same way from the project as from the quotation.



Synchronisation between financial planning on the quotation and on the project


When you adjust instalments and when you invoice, the information is synchronised between both financial plannings. So both on the quotation and on the project you see a reference to the instalments and invoices that have been created.
