Creating and using types (e.g. FH, VH)

With a type, you divide the lines of your quotations, posts and progress claims into categories. This way you give each line a short code, for example VH, FH, TP or PM. That is useful to divide your lines visually and to print the type on the PDF. The type itself does not trigger any automatic reporting or grouping.

The type appears as a separate Type column on the lines. You decide yourself which values you can choose in that column, via the settings.

Do not confuse the type (the column with codes such as VH/FH) with the line type (Line, Chapter, Title, Text, ...). The line type determines the structure and layout of a line; the type is a freely chosen category code.

Where do I create the types?

Go to Settings > General. In the Master data block, you will find the Type item under Others. Click it to open the overview of your types.

The overview of your types

Step 1 – Create a type

  1. Go to Settings > General and click Type under Master data > Others.
  2. Click the Add action button (+) at the top.
  3. In Name, enter the code you want to see on the line, e.g. VH.

Step 2 – Show the Type column on your quotations

On a quotation, the Type column only appears once you switch on the corresponding setting:

  1. Go to Settings > Quotations.
  2. Switch on the Show type (eg. SOG) toggle.
  3. Click Activate settings at the bottom right.

On a progress claim, the Type column is always present on the lines.

Step 3 – Use a type on a line

  1. Open a quotation or progress claim.
  2. Click in the Type column of the line you want and choose one of your types.

For a post, you enter the type on the post itself, in the Type field. When you add that post to a quotation line, the line takes over the type of the post.

Step 4 – Show the type on the PDF

  • Quotation: add the Type column to your pdf template. Go to Settings > Quotations, open your template under Templates in the Pdf section and add the Type column under the columns.
  • Progress claim: the Type column appears on the PDF automatically as soon as at least one line has a type.

If no line has a type, Robaws leaves the Type column off the PDF.

Worked example

Road builder Declercq Infra wants to distinguish on its quotations between posts that are part of the fixed assignment and posts included as an estimated quantity or pro memoria. Declercq Infra creates the following types:

  • VH – estimated quantity
  • FH – lump-sum quantity
  • TP – transport item
  • PM – pro memoria (as a reminder, without price)

On the quotation for the development of a housing estate, Declercq Infra gives the earthworks the type VH, the 'site signage' post the type PM and the supply and removal of materials the type TP. Because the Type column is on its pdf template, the customer sees these codes neatly in a separate column on the PDF, just like in a classic bill of quantities format.

Good to know

  • The Type item is only accessible to users with administrator rights (admin).
  • A type is a free label: it does not trigger any calculation or VAT by itself. It is used to categorise lines and (optionally) to show them on the PDF.
  • The codes VH, FH, TP and PM are only examples. You decide yourself which types you create and what you call them.
  • You do not see the Type column on your quotation lines? Then switch on the Show type (eg. SOG) setting (step 2).
