Views in the overview screen
An overview screen shows all items of a module. How they are shown, you decide yourself with the view. You can look at the same quotations as a list with columns, as a board with a column per status, or as pins on a map.
You switch between views with the action buttons at the top of the overview. Which action buttons you see there depends on the module: a view only appears where it exists. At the bottom of this article you find where to find which view.
Table
The table view is the list with columns, and you find it in every module. It is the view in which you see the most detail side by side.
The columns consist of standard fields and extra fields. Which columns you see and in which order, you decide yourself per overview. You can sort on one or more columns.
Kanban
The kanban board shows your items as cards, spread over columns. Every column is a status from the module's status list, in the order in which your statuses are set. A status column always appears, even when it is empty.
At the top of every column you see how many cards it holds. In the modules with amounts, a total is shown as well. For sales invoices and purchase invoices, credit notes are subtracted from that total; as a card they do count normally.
Within a column, the most recent item is at the top. The sorting you set in your table view does not apply to the board.
Next to your status columns, two more columns can appear. They make sure that an item never disappears from your board. They are only there when they hold something, and you cannot drag cards into them:
- No status — items that do not have a status yet;
- Other — items with a status that is no longer in your status list, for example because that status was deleted afterwards.
Changing a status
Drag a card to another column and the status of that item changes along with it.
Not every card can be dragged:
- a locked or archived item gets a padlock;
- if you have no edit rights on the module, every card is locked;
- if your rights reach only your own items or those of your team, you get a message on someone else's card that you have no edit rights on it.
Large columns
Every column shows 50 cards first. At the bottom of the column there is a Show all action button with the total number next to it; it loads the rest, up to a maximum of 1,000 cards. If the column holds more, you get a note about it.
If you open a card and then return to the board, you are back in the same place and the card you just edited is briefly highlighted. A column you had expanded with Show all stays open.
Map
In the map view every item appears as a pin on the map, based on its address. If you click a pin, the same card opens as on the kanban board. For a project the site address is used, for a supplier the invoice address.
Robaws loads 100 pins first. The same Show all action button loads the rest, up to a maximum of 1,000. Your position, your zoom level and an open card are kept while you carry on working.
The card on the board and on the map
The kanban board and the map view use the same card.
At the top are a title, a subtitle and a number of fields. Fields that are empty are skipped, so that a card never contains an empty line.
At the bottom it is always the same: on the left the number of the item, which links through to its record, and on the right the person responsible as a coloured dot with their initials. For a quotation that is the person responsible, for a project the project leader. If nobody is assigned, you see an empty user icon.
Below that, tags can appear: coloured labels that show up as soon as an item meets a certain condition.
Setting up card info and tags
Every module starts with a filled-in default, so you do not have to set anything up to get going. If you want to adjust the card, you do so as an administrator via settings > overview of the module or via the settings action button in the overview screen itself.
What you set there applies to the whole environment and to all overviews of that module. The columns of your table view do stay per overview.

Analysis
The analysis view turns your items into figures and charts instead of a list: numbers and amounts, split by status, by person responsible or by period, depending on the module. Like the other views, it takes into account the filters that are active at that moment.
You find the analysis on most modules where amounts are used. The most extensive one is that of the quotations, with an expected turnover based on the 'Success %' of your statuses; you read about it in Quotations | Analysis.
Financial
The financial view is found on the projects overview. It sets what has already been invoiced against the costs incurred, with among other things your margins, your percentage of completion and your forecast per project.
Which columns you see, you choose yourself via settings > projects > overview > financial overview. The full list of columns and how they are calculated is in The financial overview of a project.
