Quotations | Analysis

In the 'quotations' module you will find the 'analysis' action button on the overview screen. It opens a visual dashboard of your quotations: at a glance you see how many quotations are ongoing, which assignee they are assigned to, which status they are in and what amount is involved.


The analysis always takes the filters that are active in the overview at that moment into account. If you filter on a particular period, customer or assignee, for example, the figures and amounts in the analysis only show the quotations that match those filters. That way you easily tune the analysis to the question you want to answer at that moment.


The analysis is made up of three blocks:



Overview assignees


For each assignee, this block shows how many quotations are assigned to that user and for what total amount (excluding VAT). That way you see at a glance how the quotation work is spread across your team.

Example: you want to know whether the quotation work is spread evenly. In this block you see straight away that one salesperson is managing twenty open quotations for a large amount, while a colleague only has a handful. On that basis you can redistribute work or schedule follow-up where it is needed.


Overview quotations


For each status, this block shows how many quotations are in that status and for what total amount (excluding VAT). Every row takes the colour of the corresponding status, so you quickly see how your quotations are spread across the different phases.


Example: you want to know how much revenue is still in the pipeline. In this block you read straight away how many quotations have been 'sent' and for what amount, against the number that has already been 'approved'. That way you know at a glance where you need to put your effort in order to bring in the open quotations.


Result


The result bundles the amounts from the overview into four categories. That way you translate your quotations into an expected revenue without making a separate calculation.


Which category a quotation gets is determined by the 'Success %' of its current status. That percentage indicates which part of the quotation amount is considered achieved. Every quotation falls into the category that belongs to the 'Success %' of its status.

Description

Achieved

The total amount of all quotations with a 'Success %' of exactly 100. Example: approved, invoiced, won, etc.

Not achieved

The total amount of all quotations with a 'Success %' of exactly 0. Example: drawing up, draft, lost, etc.

Ongoing total

The total amount of all quotations with a 'Success %' that is not exactly 0 or 100. These quotations are considered 'ongoing'. Example: sent, read, etc.

Ongoing expected

The amount that is expected on the basis of the assigned 'Success %'. Every ongoing quotation counts pro rata: if a status is set to a 'Success %' of 30, then 30 % of € 100,000, or € 30,000, is included in this result. Example: sent, read, etc.


Quotations with a total amount of € 0 (excluding VAT) are not counted in the 'result'.


You set the 'Success %' per status through settings > quotations > statuses. For every status you determine a name, a colour and a 'Success %'. If you set a status to 100, every quotation in that status counts in full as achieved; if you set it to 0, it counts as not achieved; any percentage in between makes the quotation count pro rata in the ongoing expected amount.


Example: you give the status 'sent' a 'Success %' of 40, because roughly four out of ten quotations that are sent eventually go ahead. If you have € 200,000 worth of sent quotations open, € 80,000 of that appears in the 'ongoing expected'. That gives you a realistic estimate of the revenue you can still expect.
