Can I create a standard introduction or closing?

You can create a standard introduction/closing for a quotation under the heading 'standard texts'.
Using a standard introduction/closing makes you work more efficiently and gives a consistent line in the layout of all your quotations/change orders.

Creating a standard introduction/closing

Under settings > quotations > standard texts you can create one or more standard texts.

If you want to refer in the standard text to a field from the quotation/change order (e.g. the name of the customer, the quotation number, the quotation date), you can use replacement codes for that. These are filled in automatically with the correct data when you add the text to a quotation/change order.

After a standard text has been added to a quotation/change order, you can still edit it.

You compose a standard text with our text editor. In this article you find more information about the possibilities the text editor offers.

Adding a standard text to the quotation

There are 2 ways to add a standard introduction/closing to a quotation:

  1. In the quotation you make a manual choice from your standard texts. You do have to compose those texts first under settings > quotations > standard texts. When you then click 'add' at the introduction or the closing in the quotation, the combobox with your standard texts appears.
  2. You add the standard introduction/closing to the quotation template. You do this under settings > quotations > templates.

You can only select one standard text in the introduction and one in the closing. If you then select another standard text, the current one is overwritten. It is not possible to combine several texts.

Once you have added a standard text to the introduction or the closing, we advise against changing the layout there.

Taking over the introduction automatically on the invoice

Do you want the introduction of your quotation to appear on the invoice PDF as well? You can have this taken over automatically under settings > invoice > PDF > introductory text. That way you do not have to compose the introduction again when invoicing.
