Welcome to the guide on the general settings of Robaws. In this article we take you step by step through the general settings of Robaws. These settings form the basis of the software. Whether you are a new user or an existing one, they let you set up your environment exactly the way you want it.


You go to Settings > General to open the page with the general settings.


Once you have changed something in the settings, it is important to click 'Activate settings' at the bottom right so that the changes are actually applied within your Robaws environment.

VAT tariffs

Set up the VAT tariffs that are used within Robaws.

Payment conditions

Set up the payment conditions that are used for invoicing.

Pricegroup

You can add a customer to a pricegroup so that you can give that customer a discount.

Gl-account

The GL accounts can be used in Robaws for accounting purposes.

Currency

You can work with other currencies. You create the currency you want to use here.

Journals

The journals that are used for invoicing.

Amount Formulas

Amount formulas are used to determine the quantity on a quotation based on the parameters of a formula.

Discount and surcharge rules

Add a general discount or surcharge rule to the invoice.

Explanation

Leave periods

You can enter default leave periods so that they are carried through to the dayplanning.

Planning type

The planning types are used in the dayplanning, among other things to give colours to the dayplanning overview.

Planning resource

Planning resources are useful if you work with fixed teams of employees or workers.

Employee

Explanation

Deduction or allowance

You can link an allowance or deduction to a presence or an absence.

Employee roles

You can link hour codes to an employee role, and then assign that role to a particular employee.

Company

You can create one or multiple companies to use within the environment.

Unit types

Create the unit types you want to work with.

Type

Create types that you can use on posts, quotations and progress claims (for example: SOG, VH).

Recurring periods

With this setting you can set up default recurring periods that are used for a recurring planning item.

Mobility

Different kinds of mobility can be created and applied to the kilometre compensation of the employee.

Loontype

The wage types are used to set up the mobility.

Cash register

Create the different cash registers that can be used in the cash register module.

Activities

Activities can be used throughout the whole of Robaws with a view to the recalculation.

Forms

Create forms so that they can be filled in via Wappy .

Maintenance service templates

Templates that you use for service and maintenance.

Settings


Setting

Explanation

Default VAT country

The default country code that is filled in for customers and suppliers in the field for the VAT number.

Time zone

The time zone you are in.

Language

The default language that is used.

Themecolor & Accentcolor

These colours are used for the appearance of your Robaws environment.

Custom Dashboard URL

If you work with Power BI, you can enter its URL in this field. You then see it under the 'dashboard' module.

Number of rows in overview

This lets you decide for yourself how many rows you see on one page in Robaws.

Barcode

Here you choose between a barcode and a QR code.

Endcustomer

You activate the use of the endcustomer here. As soon as this is active, you can work with the endcustomer.

Restrict post to offers

If you activate this function, posts can only be selected within a quotation and not in other modules.

Discount

If you activate this, you can work with discounts that you add to the lines.

Tier prices

Via the item card you can set up tier prices that are used in sales.

Hide materials in use

When this function is active, you can no longer select equipment that is in use on a planning item. This only applies when something has been assigned under 'use details' on the equipment card.

Stockreservations

When this function is active, you can put items in a stock reservation for a period of time. This affects the stock of those items.

Amount #decimals


These functions let you set the number of #decimals you want to work with.

Amount #decimals

The number of decimals across the whole environment.

Purchaseprice #decimals

The number of decimals used to display the purchase price across the whole environment.

Sale price #decimals

The number of decimals used to display the sales price across the whole environment.

Amountformula amount #decimals

The number of decimals used for the amount formulas.

PDF


The settings relating to PDF let you make a number of general settings that apply to every PDF within Robaws. There are also specific settings per module. You set those up when you create the dynamic PDF .


Setting

Explanation

Hide 0 on pdf

When this function is active, zeros are hidden on the PDF.

1 tableheader per page

When this function is active, the header row of the table columns appears only once on each page.

Inverted header on PDF

The text in the header of the PDF is swapped around.

Hide lines with 0 amount on PDF

When this function is active, all lines with quantity 0 are left off the PDF.

Enable Markdown support

You can use Markdown to add formatting to the lines. In that case the styling styles no longer apply.

Styling

This function determines what the default setting is when you create a new PDF template.

Show total per vattarif

On the PDF you see a breakdown per VAT tariff instead of only the total VAT amount.

Absolute address positioning

The address is placed in the position it needs to be in for correspondence in an envelope with a window.

Client info on PDF

Here you choose whether the customer or the endcustomer is shown on the PDF.

Margin postnumber & Margin linenumber

These 2 settings let you set the width of the 'post number' and 'line number' columns yourself.

Photo settings

These settings let you adjust the format of your photo. You can do this for the quotation and for the form.

Grouping


If a document refers to data from another module, you can decide for yourself which data from that module is shown in the headers on the PDF. You set this up yourself using replacement codes .


Styling


This setting lets you create different styling styles and also make specific settings for the line types we have within Robaws.


PDF Fonts


Within Robaws we use a standard font. If you have a specific corporate identity with a specific font, you can upload that font here to use it on the PDF documents.


Title & Legalforms


This setting lets you create titles and legal forms that you then add to the customer or supplier card.
They matter mainly for correspondence or e-mail traffic with the customer or supplier.


Documents


Under the documents you can upload a PDF document that can then be added to an e-mail template sent to the customer or supplier.
Here you can add your general terms and conditions of sale, for example, which you then add later as a standard attachment to the mail to the customer.
