Starting a second environment or using multiple companies in one environment

You can work with multiple companies in the same Robaws environment. You then create a company per entity.

What are the benefits of multiple companies in the same environment?

How it works

• Users who have to work for several companies can do so from one environment
• All modules are shared: customers, suppliers, items, posts, settings, GL accounts, planning, stock, and so on. So you do not have to enter or update these per company.
• The templates, e-mail templates and so on are shared
• For certain modules you indicate which company you are working for: a quotation for company A, an invoice for company B, and so on
• Do you win the quotation with company A but carry out the work with company B? You can easily change the assigned company during the process.

Settings and integrations

• The Robaws settings are the same for all companies
• You can set a separate background, logo and so on per company
• Through the user role you can restrict access for certain users to the data, quotations, invoices, projects and so on of one specific company.
• Most integrations are shared (only accounting can be set up separately)
• The accounting integration can be linked separately per company (be aware: if it is a chargeable integration, it is charged per company)

Overview and analysis

• By using the new overview screens you can already build a clear display per company for the modules where you can enter a company on the document.
• You can analyse per company or across several companies

Licence price

• if you have the Pro licence, you can create multiple companies in Robaws at no extra cost.

When should you start an extra environment?

Do some of these benefits sound like a drawback to you? Are you in doubt? Then it is better to choose a separate environment per company. That gives you maximum flexibility.
The way your company works can change over the years. By having a Robaws environment per company, you can let the configuration of each company evolve along with it.
Might you want to sell the company in the future? Then a separate environment is recommended.

For users who work in several Robaws environments, we recommend working with different theme colours to avoid confusion.
Users can switch easily from one environment to another via the multi-tenant option.
