How does the Quick order window work?
With Quick order you order everything you need for a project, a quotation, an order or your stock in one go. Robaws suggests per item how much you need to order and from which supplier, and creates a supply order per supplier. You open the window with the shopping trolley.
Navigate quickly to:
- where you open Quick order
- the window and its columns
- from a project
- from a quotation or change order
- creating the supply orders
Where do you open Quick order?
From | What Robaws suggests |
|---|---|
A project | The items from the quotations that are active on the project, according to their project supply route. See From a project. |
A quotation or change order | The lines of the quotation or change order. See From a quotation or change order. |
An order | The lines of the order, or only the lines you select. |
The items | The items you tick in the overview, or from an item file via the plus sign next to 'Supply orders' in the Overview block. See also Reordering items for your stock. |
What you need to reorder to bring the stock at that location up to the desired stock. The supply order comes in at that location. | |
The lines of the internal supply order, to order them from your suppliers. | |
The overview of your supply orders | Nothing: you look up the items you want to order yourself. |
The Quick order window
At the top of the window you choose the Cost type (material by default), the Template and, if applicable, a Reference for the supply orders. From a project you do not choose a template: Robaws uses the Supply order template from the project supply route. If you switch cost type, Robaws reloads the lines and your changes are lost.
Per line you see:
Column | Explanation |
|---|---|
Item, Description | What you order. |
Quantity | How much you order. From a project, this column is called To order. Robaws takes the minimum order quantity of the supplier into account and warns you if an item is delivered per package. |
Unit Type | The unit of the line. |
Stock | Your stock of the item. Hover over the number with your mouse for the details: total, available and reserved stock, what is in backorder, and your minimum and desired stock. If you click the backorder, you see which supply orders are still open. |
Supplier | From whom you order the item. Choose a supplier from all your suppliers. |
Item Supplier | The supplier and their price from the item file. Robaws fills in the preferred supplier. |
Click a column title to sort. Tick the lines you want to order.
From a project
Via the shopping trolley at the top of the project you only see the items:
- that are in a quotation that is active on the project
- of the cost type you choose at the top
- that have not been ordered before for this project
Identical items are added together. Lines without an item are not included: the project supply route needs an item. Per line you see the project supply route, which you can still change here, and in the To order and To reserve columns how much you order and how much you reserve from your stock.
Click Process. For the items with the route 'to order', Robaws creates a supply order per supplier. Items from your stock end up on a reservation list or an internal supply order.
From a quotation or change order
Via the shopping trolley at the top of a quotation or change order you order straight from your lines. You see that action button as soon as Make supply order is switched on in the quotation settings. Which lines are included depends on the cost type you choose at the top:
- In a calculated quotation, the cost type of each line in the substructure counts.
- In a simple quotation, the cost type on the item file determines which type a line belongs to. A line without an item, a composite item and a post count as material.
There are three differences with a project:
- There is no project supply route. All lines end up on a supply order. Per line, you can still choose an Order and a Project.
- Identical items are not added together.
- Lines without an item, with only a description, are included as well.
Creating the supply orders
- Choose the Template at the top, if that has not been done yet. From a project you skip this step. The template determines the type of supply order: a supply order, an internal supply order, a rental order, a subcontractor or a transport supply order. Without a template you cannot create anything: first create one in the settings.
- Click Make supply order (or Process from a project).
- Robaws creates one supply order per supplier. Lines without a supplier end up together on one supply order. If you choose a template of the Intern type, everything ends up on one internal supply order, without a supplier.
How Robaws fills in the description and the price of the lines is set in the supply order settings: whether the item name is added to the reference of the supplier, whether you see the supplier discount separately and whether Robaws uses the cost price from your calculation.
