Project supply routes

If you want to order items for the execution of a project, you can do so straight from the project by creating a project supply order, in which certain project supply routes can be taken into account.

How project supply routes work

The project supply route determines which route an item will normally follow when it ends up in the project supply order:

• Some items you have in stock; those will then be taken out of stock.
• Perhaps you do not want to take them out of stock straight away, but you do want to reserve them; they then end up on the reservation list.
• Other items you do not have in stock and you want to order them per project; those will then be placed on a supply order.

This is a suggestion; you can adjust it per project supply order (e.g. if you see that you have almost no stock left, you can change the project supply route so that you order this time after all).

1. first you make sure that you create the various project supply routes that your company needs
2. then you assign them per item on the item file
3. if this item is in a project (via an active quotation), you can create a project supply order and the linked project supply route is shown, together with the available stock
4. if necessary, you can now change the project supply route
5. click 'process' so that the items end up on the right documents or lists (supply order, delivery note intern, stock reservation)

Creating project supply routes

If you want to use these supply routes, you first have to configure them. There are a number of possible combinations; these are explained below

1. To do so, go to the settings > items > project supply routes.
2. Click + at the top to add a project supply route
3. Give it a name. You are free to choose the name of the project routes yourself; below we choose clear names: to order, stock, to reserve, to order and reserve
4. Determine whether a supply order has to be created for this route, and if so, which type (most common = supply order or internal)
5. Determine whether a stock reservation has to be created for this route

Logical combinations

Below we explain the logical combinations. Choose for yourself which ones you need, depending on how your company works.

To order

Example: as a plumber I have 2 standard kitchen taps in stock, but I order other taps per project from my supplier. For a designer kitchen tap I set the project supply route 'to order', which means that I always order this tap from the supplier when my quotation goes into execution.

Configuration:

• Name = To order
• Create supply order = YES
• Supply order template = supply order
• Create stock reservation = NO

Stock

Example: as a plumber I have 2 standard kitchen taps in stock. For these taps I set the project supply route 'stock', which means that I want to take this tap out of stock when my quotation goes into execution. I want a delivery note intern (= a picking list) to be created straight away, so that I can go and take everything out of stock immediately. They appear as a realised cost in my recalculation straight away.

Configuration:

• Name = Stock
• Create supply order = YES
• Supply order template = internal
• Create stock reservation = NO

To reserve

Example: as a plumber I have 2 standard kitchen taps in stock. For these taps I set the project supply route 'to reserve', which means that this tap is reserved in stock when my quotation goes into execution. At the moment of execution I convert this stock reservation into a delivery note intern (= a picking list) to take it out of stock. This way they do not leave stock yet, but they are reserved for my project. They do not yet appear as a realised cost in my recalculation.

Configuration:

• Name = To reserve
• Create supply order = NO
• Create stock reservation = YES

To order and reserve

Example: for a designer kitchen tap I set the project supply route 'to order and reserve', which means that I always order this tap from the supplier when my quotation goes into execution, and that it is reserved for my project straight away when it is delivered. This way the tap ends up on the stock reservation list of my project, together with all other reservations, and I can convert the whole list into a delivery note intern at once as soon as all items have been delivered.

Configuration:

• Name = To order and reserve
• Create supply order = YES
• Supply order template = supply order
• Create stock reservation = YES

Use on the item file

Once you have created and configured a few project supply routes, you can assign them to one or more items.
To do so, open the item file and assign the project supply route you want.

By assigning a project supply route to an item, you indicate that this project supply route may be used as the default for this item.

Use in a project

If you create a supply order from a project via the 'make supply order' action button at the top (shopping trolley), you see a quick order screen.
Only the items from the active quotations and change orders are shown in it.

To the right of every item you see the route.

• If it was filled in on the item file, it is shown here.
• If it was not filled in on the item file, the default project supply route from the settings is filled in.

You can consult the stock and make changes if you wish.
Click process to create the supply orders & stock reservations.
