Reordering items for your stock
If you use stock management, you can keep track of the stock for your items in Robaws.
What is more, you can quickly generate a list of all items that have to be reordered in order to reach the minimum/desired stock.
You can use reordering in general, but you can also do this per stock location.
Example: you want to reorder as soon as you have fewer than 5 units in stock, but you have room in your warehouse to store 20.
You set your minimum stock to 5 and your desired stock to 20.
If you only have 4 left in stock, this item appears on the 'reorder' list, and Robaws will suggest ordering 16 of them.
Reordering in general
You use the 'reorder in general' function when you only have 1 stock location for which you register the stock.
As soon as you have several stock locations, it is advisable to reorder per stock location. To use reordering in general, it is important that you fill in the following fields on the item file:
- Minimum stock: this is the minimum amount that has to be present in stock for this item.
- Desired stock: this is the amount you ideally want to have in stock for this item.
As soon as the minimum stock drops below the actual stock, this item is included in the 'reorder' list.
You can generate this list in 2 ways:
- type the word REORDER in the search field
- go to the advanced filters and set the filter to Reorder.

To then make a supply order for the items, you go through the following steps:
- In the overview of the items, select all the items you want to reorder
- Click the action button 'to order' (shopping basket) at the top
- A pop-up window opens. An amount is already filled in for every item: this is the difference between the desired stock you filled in on the item file and the available stock. You can adjust this amount yourself if you want.
- Link the supplier you want to order from
- Click 'make supply order' at the bottom right
- You are taken to the supply order or to the overview of the supply orders (if there are several suppliers)
Reordering per stock location
If you use several stock locations, you can reorder per stock location.
To use reordering per stock location, it is important that you fill in the following fields in the 'stock' window on the item file.
- Minimum stock: this is the minimum amount that has to be in stock for this item at this stock location.
- Desired stock: this is the amount you ideally want to have in stock for this item at this stock location.
- Stock location: on these lines it is important to link the correct stock location as well

As soon as the actual stock of that item at the stock location drops below the minimum stock of that stock location, this item is included in the 'reorder' list of this stock location.
You obtain this list by clicking through to the stock location via the action button 'stock location' (pie chart) in the overview of the items. At the stock location you type 'reorder' in the search bar.
To then make a supply order for these items, you go through the following steps:
- In the overview, select the items you want to reorder
- Click the action button 'to order' (shopping basket) at the top
- A pop-up window opens in which you see the amount to be ordered (this is based on the difference between the actual stock and the desired stock)
- Link the supplier you want to order from
- Click 'make supply order' at the bottom right
- You are taken to the supply order or to the overview of the supply orders (if there are several suppliers)
On the supply order that has been created, the field 'supply order to' contains a link to the stock location. This way the backorder for this supply order is only counted for the linked stock location.
