The module 'dayplanning' is included from the Robaws Go licence onwards and can be activated via the user role.


In Robaws you create a planning via the dayplanning module.
The dayplanning is the central collection point for all planning assignments for employees, equipment or projects. These are important in carrying out the day-to-day operation of your organisation.
The module 'dayplanning' is closely connected to Wappy and work orders.


This article explains the following:



In the dayplanning you can make use of the waiting room. The waiting room contains all planning items that do not yet have a start and end time and therefore still have to be scheduled.
The waiting room also has an overview screen where you can see the columns just as in the dayplanning.

Overview screen


The overview screen is the screen where you get an overview of all planning assignments that have been scheduled at a single glance. You can set the overview screen to list view (as in other modules) or calendar view.


The overview screen of the dayplanning offers various possibilities:



In addition, you can determine the periodicity (day, week, month, year, etc.) yourself, as well as the resource (employee, project, equipment, planning resource, execution phase) you want to show.
You create the periodicities you want to use yourself via settings > dayplanning > settings.


Via the display action button you also determine whether you want to see empty lines (resources without a planning) and absences. The execution phase resource is only available when you work with execution phases; you switch those on via the project settings.


How are the colours determined?


The colour of a planning item in the overview is determined by:


  • the planning type you assign to the item — this always takes precedence;
  • the time-off category (illness, leave, etc.) linked to the item, if no planning type has been chosen.


The leave periods you set up do not colour the item itself, but the background of the day in question in the overview.



Creating a new planning item


You can create a new planning item from various modules: the dayplanning itself, a project, an order, an installation, an equipment file or from employees.
A new planning item follows one of the templates you set up. You manage these templates via settings > dayplanning > templates.


Moving, copying or extending a planning item by dragging


In the calendar overview you simply drag a planning item to another time or another employee: the item then moves along with it. If you drag it to another employee, the item is placed with that employee and disappears from the original one.


If you hold down Shift while you drag, something else happens:


  • Shift + dragging to another time or another date for the same employee: you copy the planning item. A new planning item is created.
  • Shift + dragging to another employee (or other equipment, or another planning resource): you extend the existing planning item with that additional resource. No new item is created.


If you subsequently make a change to a planning item that is assigned to several employees and/or equipment, that change applies to all assigned employees and equipment.



The planning file


When you create or open a planning item, you end up on the planning file. It is made up of various blocks with standard fields, possibly supplemented with extra fields that you create via the settings.
How you fill in a planning item depends on where you start. There are two logical ways.


Flow 1 — from another module


If you start from a project, order, installation, equipment file or employee, then a great many fields are already pre-filled on the basis of the template (project, customer, customer reference, address, etc.). You then complete the following:


  1. Give a title: what has to be carried out?
  2. Fill in the start and end date, or drag the item from the waiting room to the right place on the planning.
  3. Add the employee(s), or drag the item in the overview to the right employee.
  4. Add the necessary equipment, the installations and so on.
  5. You add extra information and files at the bottom via the tabs.
  6. Assign a planning type to give the item a specific colour on the planning.


Flow 2 — from the overview of the dayplanning


Click directly on a spot in the overview of the dayplanning. The date and the employee are then filled in immediately on the basis of where you clicked. Next:


  1. Give a title.
  2. Fill in the necessary fields: project (or only the customer if there is no project), employees, equipment and so on.
  3. You pass on files and extra information via the tabs at the bottom.
  4. Assign a planning type for the colour on the planning.


Via the 'Items' tab at the bottom you also place the items needed for the assignment on the dayplanning — manually or loaded from a linked quotation or supply order.


You can restrict the choices for project, employees, equipment and installations by status via the settings.


Address


Robaws has an automatic link with Google Maps. If you fill in (part of) an address in the 'Enter a location' field, Robaws looks up the full address on the accompanying Google Maps map. If an address is linked to the project, order or customer, that address is automatically copied into the planning item.


Tip: the address is shown in Wappy, so that your employee can navigate straight to it via Waze or another navigation tool. Is the address not sufficient? Then drag the pointer on the Google Maps map to the right spot, so that the exact coordinates go along to Wappy as well.



Extra options


Besides the basic fields, the planning file offers a few less obvious fields and options.

Planning resource

A planning resource is a predefined team of employees, possibly supplemented with equipment, that you schedule together in one go. If you select a planning resource, the accompanying employees and equipment are filled in automatically. You set them up via the settings.

Execution phase

With the execution phase you indicate which phase of the work this planning item belongs to. You determine the phases themselves via the project settings.

Execution phase detail

Extra explanation of the chosen execution phase. You fill in this field manually.

Time & Materials

Tick this if this assignment is carried out on a time and materials basis.

Planning type

The planning type determines the colour of the item in the overview of the dayplanning. You create the types via the settings.

Time-off category

Use this field when the planning item concerns an absence (illness, leave, etc.). The time-off category also determines the colour of the item in the overview. You create the categories via settings > dayplanning > master data > time-off categories.

Hour type

If you work with hour types, you use this field to refine the chosen time-off category. The field is only visible if hour types are switched on via settings > employees > master data > hour type.

Contact

The contact at the customer. If you work with endcustomers, there are also the fields Endcustomer and Endcustomer contact. These fields are copied automatically from the chosen project or the chosen order.

Company

If you work with several companies within one Robaws environment, you determine here which company this planning item applies to. The field is filled automatically on the basis of the chosen project or the chosen order.

Recurring planning item

Does an assignment have to come back regularly (e.g. a maintenance every 6 months)? Then you make the planning item recurring.

Recurrence rule / Main item

If you set the planning item to recurring, you choose the rhythm in Recurrence rule. For every generated item, Main item refers back to the original planning item. This block only appears once a start date and an end date have been filled in.


Overview


The Overview block on the planning file shows all links from this planning item to other modules.
The modules that are linked to are work orders and maintenance. You can click through to these modules that way.
You can create a new work order from this block by clicking the plus sign next to work orders.


Forms


It is possible to link a form to the dayplanning. This form becomes visible in Wappy and can be filled in there.
You create the forms themselves via settings > general > master data > forms; that is also where you switch on the 'Forms' toggle, otherwise this block is not visible on the planning file.


The various tabs on the planning file


At the bottom of the planning file there are a few tabs:


  • Items: items that are necessary for carrying out this planning assignment. These items are copied to the work order.
  • Detail: more detailed information about the assignment that has to be carried out. This detail becomes visible in Wappy for the employees.
  • Remarks: internal remarks about this planning item. These remarks are not forwarded to Wappy.
  • Files: all files that are important for this planning assignment are added here.
  • Tasks: overview of the tasks linked to this planning item.


The action buttons


In the overview of the dayplanning and in the planning item itself you find a few action buttons at the top.
From these buttons you can carry out a few self-evident operations such as: adding, deleting, archiving, locking, exporting to Excel.
In addition, you have a few specific action buttons:


Action button

Operation

PDF (Belgium)

This gives you a PDF with the overview of the yard messages and the check-in at work (CIAW) for the projects in the overview, including the NSSO number and the legal details of the scheduled employees. This action button is only visible when the Belgian functionalities are switched on.

Calendar PDF

You get a PDF with the scheduled assignments that are actively shown in the overview.

Print

A screenshot of your screen is taken, which you can print.

Default document

With this button you can call up default documents that you have created in the settings and export them to PDF.

Send e-mail

From both the overview and the planning item it is possible to send an e-mail. You create the e-mail templates you can choose from via the settings.

Conflicts

Opens an overview of the conflicts in the visible period: employees, equipment or planning resources that are double-booked at the same moment.

Employee locations

Opens the overview with the last known location of your employees. This action button is only visible when track & trace is activated.

Show in dayplanning

From this planning item you go to the overview view of the dayplanning on the right day.

Move to waiting room

Remove the start and end time and move your planning item to the waiting room.



The dayplanning is closely connected to Wappy, the app with which your employees consult their assignments in the field. In Wappy you see the following for every planning item:


  • the general information from the planning item (title, customer, time, planning type, etc.);
  • the address, so that the employee can navigate straight to the site;
  • the detail from the Detail tab, preceded by the work order information of the linked project and the linked order;
  • the items from the Items tab and the extra fields that have been filled in;
  • the assigned equipment and the installations, and the linked forms;
  • the files, both those from the linked project and the linked order and those from the planning item itself.


The internal remarks from the Remarks tab do not go along to Wappy.


From planning to execution


Once your dayplanning is ready, a few steps still follow:


  • Before the execution you inform the customer about the planned assignment.
  • Do you not work with Wappy? Then inform your employee by e-mail with the planning item.
  • After the execution the work order comes in to you — via Wappy or on paper.
