Orders | Settings
In this article we guide you step by step through the order settings of Robaws. Also take a look at the general settings: those hold settings that affect several modules, so orders as well.
You find the settings via settings > orders.
Overview
Here you determine what the different views of the overview screen of your orders look like. What you change here applies to every user. On top of that, every user can still create and set up their own overviews.
Setting | Explanation |

Quick filters | Choose which filters are ready by default in the overview. |
System view | Determine which columns you want to see in the table view, and in which order. |
Post-calculation overview | Determine which columns you want to see in the analysis view, and in which order. |
Card info | Determine the title, the subtitle and the fields of the card in the kanban view. Eight fields in total at most. |
Tags | Set up labels that appear on a card as soon as an order meets your condition. Ten per module at most. |
Card info and tags apply to the whole environment. The columns are set up separately per overview.
Settings
Setting | Explanation |
|---|---|
Show post nr. | Adds the Post column to the order lines, so that you can link a post to a line. |
Show line nrs. | Adds the Line nr. column to the order lines. |
Signature | Switch this on to print the signature that is on the order on the order pdf. If this is switched off, the fixed closing text from your pdf settings appears at the bottom of the pdf. |
Show material | Adds the Equipment column to the order lines, so that you can link a piece of equipment to a line. |
Wappy enabled on file by default | Switch this on to release new order files for Wappy by default. You can still change this per file on the order. |
Use amount executed | Adds the columns Executed and Status to the order lines, so that you keep track per line of how much has already been executed. Your team can also send those quantities through from Wappy; for that, switch on show order lines in the Wappy settings. |
Copy line items to planning item | Switch this on to copy the order lines to the planning item when you schedule the order in the dayplanning. |
Make supply order | Adds an action button to the order overview to create a supply order straight from the orders you selected. You also need permissions on supply orders for this. |
Use execution-based billing | Adds the execution tab to every order, in which you invoice the work orders and purchase invoices of that order in one go. The full explanation is in order execution. |

Setting | Explanation |

Order billing strategy | Appears as soon as use execution-based billing is switched on. Choose whether invoicing is based on the order items, on the order execution, or whether Robaws asks you every time. More explanation in order execution. |
Invoice percentage from order | The text that appears on the invoice line when you invoice a percentage of an order. Use replacement codes for this, for instance: Instalment of ${percentage}% according to order ${logicId}. With the action button next to the field you fill in the text per language, so that your customer sees it in their own language. |
Supply order reference text | The reference text that goes along to the supply order you create from an order. Here too you can work with replacement codes. |
Next number
Here you set up the numbering of your orders: the prefix, the suffix and the number of digits (#Numbers). With change next number you determine which number the next order gets. You find more explanation in changing a document number.
Extrafields
Just as with all modules in Robaws, you can create extra fields of your choice for an order as well.
Here you manage the pdf templates of your orders: which data appears on the pdf, in which layout, and which texts appear at the top and the bottom. You can have several templates side by side and choose which one you use when generating the pdf.
Statuses
Manage the statuses of your orders here. Three fields let a status follow automatically from what happens to the order:

Invoice status | The status the order gets as soon as it has been invoiced. |
Status after loading into process claim | The status the order gets as soon as it has been loaded into a progress claim. |
Status after scheduling | The status the order gets as soon as it has been scheduled in the dayplanning. |
Under order line statuses you manage a second, separate list: the statuses of the lines on an order. With status after order line completion you choose which status a line gets as soon as it has been fully executed. Those line statuses work together with the use amount executed setting above.
Templates
You can create your own templates for orders. That way you have different order templates in which certain fields are already filled in, and for a new order you choose the template that fits.
At the top you indicate per order type which template is used by default: one for Order, one for Service and one for Maintenance. You use those last two if you work with service and maintenance.
Default documents
Set up the default documents you want to use from an order here. They appear on the order fiche under the action button default document. You can still edit them there before you send them to your customer.
Email templates
Here you set up the email templates you use to send mail from an order. You prepare different mails with a fixed text (optionally with replacement codes) and with certain attachments.
