Wappy | Files
In Wappy you come across files in several places: you add photos to a work order, you consult the documents that belong to the linked project or order in Robaws, and you can share files from another app straight to Wappy. In this article we run through how that works.
Adding photos to a work order
While filling in a work order you can add photos, for example to record the work carried out or a situation on site. The photos are sent to Robaws along with the work order and end up with the work order there.
If the work order has a folder structure, you first choose the folder when adding. You get a selection screen with the available folders; only after you have indicated one is the photo or file added. That way nothing has to be moved in Robaws afterwards. This also works for work orders that you create straight from a planning item.
In the 'Uploads' section you use the action button next to the title to determine how you view your files: as a flat list or in folder display.
You determine the resolution of the photos that are sent through with the Photo upload quality setting (High / Medium / Low) in the personal settings of Wappy. If you choose High, the work order may be sent through more slowly; with a lot of photos we recommend Medium or Low.
Consulting documents
Besides the photos you add yourself, you can also consult the files in Wappy that already belong to the work in Robaws. On the Info tab of a work order they sit under 'Documents': the plans, photos and documents of the linked project or order, so that you have them to hand on site as well. You get that same document list on every screen where Wappy shows files — with orders, tasks, work orders and installations.
The documents can be shown in the same folder structure as in Robaws. That structure comes from the planning item, the project and/or the order, or from a work order template: with such a template you determine in Robaws in advance which folders a work order is given, so that your team immediately knows where a photo or document belongs. You manage those templates via settings > work orders.
With the action button next to 'Documents' you switch between two displays:
- a flat list — all files without folders;
- the folder display — the files organised in folders, just as in Robaws.

On the work order, on the tasks and on the installations the folder display works. A work order also shows the files of the linked project and order, so those documents appear there in their folders as well.
Which documents does your team see?
Not every file from Robaws ends up in Wappy. On the files of a project and of an order you determine yourself what may come along: the Wappy action button on the file line releases a file. If the icon is green, your team sees the file in Wappy; if it is black, the file stays internal. Click that action button on a folder and you release everything in it in one go.
Do you want new files to be released straight away? Then switch on the 'Wappy enabled on file by default' setting via settings > projects and settings > orders. By default it is switched off.
For the folders themselves you do not have to tick anything: a folder follows its contents. If it holds at least one released file, the folder appears in Wappy, together with the folders above it. A folder in which nothing is released is left out by Wappy. So if you see fewer folders in Wappy than in Robaws, first check the Wappy action button of the files inside them.
Sharing files from another app to Wappy
Do you already have a file on your device — in your photo library, a PDF viewer or as an attachment in your mailbox, for instance? Then you do not have to create or photograph it again. You send it straight to Wappy with the share function of your device:
- Open the file in the app it is in.
- Tap the share button of your device and choose Wappy in the list of apps.
- Wappy opens on the 'Add to work order' screen. There you choose the work order from your 'my work orders' list.
The file then ends up on that work order, on the 'extra' tab under 'Uploads'. So it is not stored with the photos that you add to the work order while filling it in, but separately under 'Uploads'.
