Wappy | Scheduling orders
Besides the assignments you schedule at the office, your employee can also look up and schedule an order themselves in Wappy. Robaws immediately turns this into a planning item in the dayplanning, so that the work remains traceable without anyone at the office having to step in.
Example: Jan is at a customer's site and is told that a second order may be added as well. He looks that order up in Wappy, enters the period and can start on it straight away. At the office you see the planning item appear in the dayplanning and the order jumps to the status 'scheduled'.
Settings
First switch on the Show orders setting via settings > work orders > Wappy. It is switched off by default. It gives your employee an extra 'orders' module in the left-hand column in Wappy.
These settings determine what your employee sees and what happens:
Setting | Where | Explanation |
|---|---|---|
Show orders | settings > work orders > Wappy | Switches on the 'orders' module in Wappy. |
Order statuses | settings > work orders > Wappy | Limits the orders your employee can choose to these statuses. If you leave this empty, they see all orders. |
Status after scheduling | settings > orders > statuses | The status the order gets as soon as it has been scheduled. If you do not fill this in, the status of the order remains unchanged. |
Scheduling an order
In Wappy your employee looks up the order and only enters a start and end date. Robaws takes everything else over from the order itself:
- the customer, the endcustomer and the contact;
- the customer reference and the project;
- the address of the order, or the site of the project if the order has no address;
- the title of the order, which becomes the title of the planning item;
- the installations of the order and the extra fields that have been filled in.
The employee who schedules the order is automatically added to the planning item as the employee. The assignment therefore appears in their own list of work orders straight away. Equipment is not added; you complete that in Robaws or register it on the work order afterwards.
If you want the order lines to come along on the planning item, leave the Copy line items to planning item setting switched on via settings > orders > settings. It is switched on by default.
Multi-day orders
If your employee schedules a period of several days, one planning item covering the whole period appears in the dayplanning. In Wappy, however, they see one work order per day, so that they can register their hours and materials per day.
For the days between the start and the end, Robaws fills in the default start and end time of your dayplanning: the first day runs until the End time, the last day starts at the Start time, and the days in between run from start to end time. You set those times via settings > dayplanning > settings.
Good to know
- The employee has to be linked to an employee file. If that is not the case, no employee is added to the planning item.
- Robaws does not check whether an order has already been scheduled. If your employee schedules the same order twice, you get two planning items.
- If your employee enters an end date before the start date, Robaws refuses the request.
