How does the GeoDynamics integration work?

GeoDynamics is software for tracking vehicles and material and for registering the number of hours your employees have worked. GeoDynamics also supports the CheckInAtWork and yard message that have to be done on a project.


The direct integration between GeoDynamics and Robaws offers the following possibilities:



To be able to use the integration with GeoDynamics, you need specific access as an API user at GeoDynamics, which involves an additional cost.


An integration with Geodynamics is chargeable: you pay an additional cost per integration you set up from Robaws. You can find the current prices on the Robaws pricing page.


Activating the integration


To activate the integration with GeoDynamics, go to settings > integrations > GeoDynamics.
To set up the integration, fill in the following details:

The settings above are required to set up the integration. In addition, there are a few settings with which you can configure the integration itself.

Projectname prefix

With this function you determine which prefix is sent along to GeoDynamics. You can use replacement codes here.

Project radius (in meter)

This is the radius of the geofence of the POI in GeoDynamics.

Only sync projects with date after

Here you can enter a date from which projects may be sent to GeoDynamics. Projects before this date will not be sent.

CheckInAtWork notes

Check In At Work in GeoDynamics has a 'notes' field. With this setting you determine what goes into that note. This can be a fixed text, or a text you compose using the replacement codes.

Sync projects

If you activate this function, we send the projects to GeoDynamics and they are synchronised every time a change is made in Robaws on the project.

CheckInAtWork

The CheckInAtWork that is activated on the projects is passed on to GeoDynamics.

Active project statuses

You can determine which projects with which statuses are sent to GeoDynamics. If you leave this empty, all projects are sent.

Recalculation import

With this function you have the possibility to import a recalculation from GeoDynamics as a work order in Robaws. This is a chargeable option.

Use pause of post calculation

If this function is activated, we take over the pause we receive from GeoDynamics. If it is switched off, the pause is 0.

Fallback on cost center code

We recommend always leaving this switched on. This is a technical setting.

Use duration

GeoDynamics passes on the start and end time and the total duration to us via the API. If this function is activated, we set the duration from GeoDynamics as the number of hours on the work order and the start and end time from GeoDynamics in the remark on the work order. If this function is deactivated, we set the start and end time from GeoDynamics as the start and end time on the work order.


Creating projects as points of interest in GeoDynamics


To be able to create projects as a point of interest in GeoDynamics, it is important that the setting 'Sync projects' is activated.
Via the settings 'Active project statuses' and 'Only sync projects with date after' you can filter further on which projects specifically may be sent to GeoDynamics.


When are the projects created? This happens in the following ways:


  • When you create a project in Robaws, that project is sent to GeoDynamics and created there as a point of interest.
  • When you edit an existing project in Robaws, the information of that project is sent to GeoDynamics and created or updated as a point of interest.


A point of interest needs at least a street and a city. If one of those two is missing on the project address, the point of interest is not created and everyone with administrator rights receives the message 'Project ... failed to register or update in GeoDynamics', stating which detail is missing.


Robaws synchronises on every change to the project, even if the address is not yet complete. So if you only complete a project later on, you can receive such a message in the meantime. Use 'Active project statuses' to avoid projects that are still being drawn up being sent through already.


Projects with a date before the date in 'Only sync projects with date after' are simply skipped. You do not receive a message for those.


The planning name may contain a maximum of 50 characters in order to create the point of interest in GeoDynamics.


Passing the CheckInAtWork for a project on to GeoDynamics


The project that is synchronised with GeoDynamics can also be created as a CheckInAtWork site.
To create a CheckInAtWork site in GeoDynamics, the project in Robaws has to meet the following conditions:


  • The Yard nr. NSSO is filled in correctly
  • CheckInAtWork is set to 'Yes'


Importing the recalculation from GeoDynamics into Robaws


It is possible to import the recalculation from GeoDynamics into Robaws. In Robaws this is registered as a work order.
To be able to use this, you go through the following steps once:


  1. Contact GeoDynamics via servicedesk@geodynamics.be. Ask them to give the API user you already use for GeoDynamics sufficient rights to request the recalculation. If you do not have an API user yet, they will provide one.
  2. The cost centre of the recalculation in GeoDynamics has to be set to 'NP Naam'. You can do this via config > templates > recalculation.
  3. Activate the settings in Robaws to be able to import the recalculation. You can do this via settings > integrations > GeoDynamics > 'Recalculation import'.
  4. Link every employee to the correct GeoDynamics user. You can do this in the employee file. Click the pencil next to the 'GeoDynamics' field and search for the employee in your GeoDynamics environment. Then click 'link' on the correct employee. Repeat this process for all employees for which you want to import the recalculation from GeoDynamics.

The recalculation can be imported from GeoDynamics into Robaws in 2 ways:


  1. From the overview screen of the work orders
  2. From a planning item


Importing the recalculation from the work orders


To import the recalculation from GeoDynamics from the work orders, you go through the following steps:

  • At the top of the overview of the work orders, click the action button 'import from GeoDynamics'
  • Enter a start and end date for the period of the recalculation you want to import
  • Filter on employees and project that may be imported, if applicable
  • Click 'search'


Once you have gone through the steps above, you receive an import proposal and you can choose to import.
As soon as you have imported, the recalculation is created as a work order per project, with the data from GeoDynamics registered on it.


Importing the recalculation from a planning item


To import the recalculation from GeoDynamics from a planning item, you go through the following steps:

  • Open a planning item in the dayplanning
  • At the top of the planning item, click the action button 'import from GeoDynamics'
  • The start and end date, employees and projects filters are filled in automatically based on the information of the planning item
  • Click 'search'


Once you have gone through the steps above, you receive an import proposal and you can choose to import.
As soon as you have imported, the recalculation is created as a work order per project, with the data from GeoDynamics registered on it.


Is the information from GeoDynamics not coming into Robaws? Then check the settings in GeoDynamics.
