Work orders | Settings
Via Settings > Work orders you determine how the work orders module works: which blocks you see on a work order, how your work orders are invoiced and numbered, which statuses they get automatically and what your team can do in Wappy. This page is only visible to administrators. Your changes are saved as soon as you leave the page. Also take a look at the general settings: they have an impact on several modules, and therefore on your work orders as well. How to work with work orders is explained in Work orders | General.
Master data
Setting | Explanation |
|---|---|
Mobility | Create the mobility types that you choose in the Kilometers block of a work order. See Applying a mobility allowance |
Loontype | Create your wage types. See What is a Loontype and how do I set it up? |
Overview
Here you determine what the views of the overview screen of your work orders look like. What you change here applies to every user. In addition, every user can still create and set up their own overviews.
Setting | Explanation |
|---|---|
Quick filters | Choose which filters are ready by default in your overview. |
System view | Choose which columns you want in the table view, and in which order. |
Post-calculation overview | Choose which columns you want in the Analysis view, and in which order. |
Card info | Set the title, the subtitle and the fields of the card in the kanban and map views. A maximum of 8 fields in total. |
Tags | Set up labels that appear on a card as soon as a work order meets your condition. At most 10 per module. |
Wappy
Here you determine what your team sees and can do in Wappy: which data they look up, how they enter hours, which modules they see and how far ahead and back the planning is visible. Every setting is explained in Wappy | Settings.
Two of those settings also apply to the work order in Robaws itself:
Setting | Explanation |
|---|---|
Enter the start/stop time | Switch this on to show the start time and end time columns in the Employee hours block. Robaws then calculates the hours itself. |
Enter pause | Switch this on to show the pause column in the Employee hours block. |
Work order templates for Wappy
If your team sends you photos and documents via Wappy, you want to find them back in an orderly way. With a work order template you set the folder structure that a work order gets. You find the templates at the bottom of the Wappy card.
- Click Add and give the template a name. Choose Create blank template to build up the folders yourself, or Choose existing to take over the folder structure of an existing work order. With Edit template you can still adjust the folders later.
- Choose the template on the order, in the Wappy work order template field. The work orders that result from that order, also via a planning item, get those folders.
- Switch on Show document folders, so that your team also sees the folders in Wappy. More about this in Wappy | Files.
Settings
At the top of this card you change the number of the next work order via Change next number.
Setting | Explanation |
|---|---|
Make invoice | Switch this on to show the Make invoice action button in the work order overview and on the work order file. Users also need permissions on invoices for this. |
Make order | Switch this on to show the Make order action button in the work order overview and on the work order file. Users also need permissions on orders for this. |
PDF signature | Switch this on to put the signature from the Signature tab on the PDF of the work order. If this is switched off, a textual signature block appears on the PDF. |
Use Pro work order | Switch this on to give new work orders the extended layout, with the Employee hours block and the option to show Material hours and Kilometers. This only applies to work orders you create afterwards. Existing work orders keep their layout. |
Show kilometers | (only on a Pro work order) Switch this on to show the Kilometers block on the work order. |
Show material hours | (only on a Pro work order) Switch this on to show the Material hours block on the work order. If you make the work order from a planning item, Robaws also takes over the scheduled equipment. |
Use title | Switch this on to show the Title field on the work order. The title also appears on the PDF. |
Show line nrs. | Switch this on to show the line number column on the Items tab. |
Rounding minutes for employee hours | Round the Billable hours up to a fixed number of minutes. If you fill in 15, 7 hours and 6 minutes become 7.25 billable hours. The hours worked themselves remain unchanged. If you leave 0, Robaws does not round. More explanation in What is the difference between hours and billable hours on a work order? |
Default remarks | The text that automatically appears in the Remarks field of every new work order. |
Invoicing strategy | Determine how detailed the work orders appear on the invoice, see below. |
Time check view | Create the views of the time check in the calendar view of the work order overview. Per view you choose, among other things, the Name, the Type, the Periodicity and the Timeslot. |
Invoicing strategy
Strategy | What appears on the invoice |
|---|---|
Detail per work order | Every line of the work order appears separately on the invoice. With the Employee hours detail entry, Material hours detail entry and Line detail mention when invoicing fields you determine the description of those lines. |
Detail addition work orders | Lines with the same item are added up across all work orders. The invoice line is then no longer linked to one work order. |
1 line per work order | Per work order and per VAT rate, one total line appears on the invoice. With Compact total line entry you determine the description of that line. |
In all those fields you work with replacement codes. Examples of each strategy on the invoice can be found in Invoicing one or more work orders
Extra fields
As in all modules in Robaws, you can also create extra fields of your choice for a work order.
Man-day Register
(visible if NL features enabled is switched on in the general settings) Here you set up the PDF of the man-day register.
Setting | Explanation |
|---|---|
Employee format | Which data of the employee appears on the PDF. By default this holds |
Declaration | The declaration that appears on the PDF. With the action button with the globe you enter the text per language. |
Statuses to Export | Only work orders with one of these statuses appear in the man-day register. |
Footer | The text at the bottom of the PDF, for example for a signature. |
Setting | Explanation |
|---|---|
Templates | Set up one or more PDF templates for your work orders: which data appears on the PDF and in which layout. Per template you determine, among other things, whether the photos of the work order come along (Show image files on Pdf) and whether the installations and the forms appear on the PDF. Your templates appear on the work order file and in the work order overview under the Pdf action button. |
Statuses
Create the statuses of your work orders here and give every status a colour for the overview. With the following fields you let a status follow automatically from what happens to the work order. Each time, fill in one of your existing statuses. If you leave a field empty, the status remains unchanged.
Setting | Explanation |
|---|---|
Default status | The status every new work order gets. |
Invoice status | The status the work order gets as soon as it has been invoiced. If you invoice the work order via an order with execution based invoicing, it only gets this status once at least one of its lines has actually been invoiced. |
Orderstatus | The status the work order gets as soon as you make an order of it with Make order. |
Default documents
Set up the default documents that you want to use from a work order here. They appear on the work order file under the Default documents action button.
Email templates
Create the email templates with which you send a work order here. If Send work order directly to customer (first email template is used) is switched on on the Wappy card, Wappy uses the first template from this list.
