Projects | Settings

Via Settings > Projects you determine how the projects module works: which fields and blocks you see on the project file, how your projects are numbered and what the overview screen and the recalculation look like. Also take a look at the general settings: they have an impact on several modules, and therefore on your projects as well. How to work with projects is explained in Projects | General.

After every change, click Activate settings at the bottom right. Otherwise your adjustments are not applied in your Robaws environment.

Master data

Setting

Explanation

Executionphase

Switch this on to work with execution phases. Then click through to create them: you give every execution phase a name and can link a planning group to it in order to group them on the dayplanning.

Overview

Here you determine what the views of the overview screen of your projects look like. What you change here applies to every user. In addition, every user can still create and set up their own overviews.

Setting

Explanation

Quick filters

Choose which filters are ready by default in your overview.

System view

Choose which columns you want in the table view, and in which order.

Post-calculation overview

Choose which columns you want in the Analysis view, and in which order. This also determines the columns of the Recalculation block on every project file.

Financials overview

Choose which columns you want in the Financial view, and in which order. What each column means is explained in The financial overview of a project.

Card info

Set the title, the subtitle and the fields of the card in the kanban and map views. A maximum of 8 fields in total.

Tags

Set up labels that appear on a card as soon as an item meets your condition. At most 10 per module.

Card info and tags apply to the whole environment. You set the columns separately per overview.

Settings

Setting

Explanation

Quotation concern as planningname

Switch this on if you want the Concerning field of the quotation to become the Planningname of the project you make from that quotation.

Wappy enabled on file by default

Switch this on to release new project files for Wappy by default. This also applies to the files that move along from the quotation when the project is created. You can still change this per file in the project. A folder appears in Wappy as soon as it holds one released file.

Construction partners

Switch this on to show the Construction partners block on the project file.

Forecast & Forecast changes

Switch this on to see the Forecast changes module in the Overview tab of the project. In the Financial block of the project the columns Forecast and % (percentage of completion) are then added as well.

Discounts and surcharges

Switch this on to show the Discounts and surcharges field on the project file. The discounts and surcharges you enter there are given to an order on this project instead of those of the customer.

Measurements

Switch this on to work with measurements in your quotations, change orders, progress claims and projects.

Type construction partner

Adjust the list of construction partner types as you wish. You use this list in the supplier file and in the project file.

Next number

  1. Change the number of the next project here via Change next number.
  2. Choose how the numbering is built up yourself: fill in a Prefix, a Suffix and the number of digits (#Numbers).

Extra fields

As in all modules in Robaws, you can also create extra fields of your choice for a project.

Tip: if you create the same extra fields for quotations and projects, Robaws takes over their content when you make a project from the quotation.

Recalculation

Setting

Explanation

Post

Switch this on to add a Post column to the lines of quotations, work orders, planning items, supply orders and incoming invoices. In it you choose a post. In the recalculation you can then analyse per post.

Grouping, Subdivision and Display

Determine the default value for the grouping, the subdivision and the display of the recalculation. You can still change them on every project file.

Pdf

Setting

Explanation

Show comments on PDF

Switch this on to show the remarks you note in the project on the pdf of the project.

Statuses

Create the statuses of your projects here and give every status a colour for the overview.

Setting

Explanation

Projects with these statuses are active for track and trace

Fill in the statuses in which a project is active for track and trace.

Templates

You can create your own templates for projects. That way you have various project templates in which certain fields are already filled in, and for a new project you choose the template that fits. You can still edit a template afterwards; this changes nothing about your projects in progress.

Click Add, fill in a name for your template and choose your starting point:

  • Choose existing: you start from an existing project;
  • Create blank template: you start from an empty project.

Default documents

Set up the default documents that you want to use from a project here. They appear on the project file under the Default documents action button. You can still edit them there before you send them to the customer.

Email templates

Here you set up the email templates that you use to send mail from a project. You prepare various emails with a fixed text (with replacement codes if you wish) and with particular attachments.
