Installations | Settings

Via Settings > Installations you determine how the installations module works: what the overview screen looks like, with which templates you create new installations, which statuses they get and which documents and e-mails you draw up from an installation. This page is only visible to administrators. Your changes are saved as soon as you leave the page. Also take a look at the general settings: they have an impact on several modules, and therefore on your installations as well. How to work with installations is explained in Installations | General.

Overview

Here you determine what the views of the overview screen of your installations look like. What you change here applies to every user. In addition, every user can still create and set up their own overviews.

Setting

Explanation

Quick filters

Choose which filters are ready by default in your overview.

System view

Choose which columns you want in the table view, and in which order.

Card info

Set the title, the subtitle and the fields of the card in the kanban and map views. A maximum of 8 fields in total.

Tags

Set up labels that appear on a card as soon as an installation meets your condition. At most 10 per module.

Card info and tags apply to the whole environment. You set the columns separately per overview.

Extra fields

As in all modules in Robaws, you can also create extra fields of your choice for installations, for example the capacity or the type of refrigerant. They are also included in the Excel export of the overview.

Statuses

Create the statuses of your installations here, for example 'to be placed', 'placed' or 'out of service', and give every status a colour for the overview.

Setting

Explanation

Default status

The status of an installation that you create from a blank template, and of an installation that Robaws creates automatically with a stock change. If you create an installation from another template or via Duplicate, it gets the status of that template or of the duplicated installation.

You set the statuses of your maintenance services separately, via Settings > Maintenance. See Service and maintenance: step by step from maintenance schedule to work order.

Templates

You always create a new installation from a template. A template is an example installation in which you already record what is the same for every new installation of that kind, such as the brand, the item, the supplier, the status or the maintenance schedule. If, for example, you create the templates 'Heat pump' and 'Air conditioner', you choose the right kind straight away for a new installation.

  1. Click Add and give the template a name.
  2. Choose Create blank template to start from an empty installation, or Choose existing to take an existing installation as an example.
  3. Via Edit template you fill in the fields of the template.

A template does not appear in your overview. The files, the tasks and the lines of the maintenance schedule of the template are copied to every new installation.

As long as no template exists at all, you don't see an Add action button in the installations overview.

Default documents

Set up the default documents that you want to use from an installation here, for example a delivery certificate or an inspection report. They appear on the installation file under the Default documents action button.

Email templates

Create the email templates with which you send an e-mail from an installation here, with a fixed text and fixed attachments, for example the barcode or a default document. Per template you also determine which status the installation gets automatically after sending and after the e-mail has been read.

Settings in other modules

A few settings for installations are located elsewhere in Robaws:

Setting
