Dayplanning | Settings

Via Settings > Dayplanning you determine how the dayplanning works: with which categories, teams and leave periods you plan, what the calendar looks like, what appears on a planning item and in an email, and what goes to the work order. This page is only visible for administrators. Also take a look at the general settings: they have an impact on several modules, and therefore on your dayplanning as well. How to work with the dayplanning is explained in Dayplanning | General.

After every change, click Activate settings at the bottom right. Otherwise your adjustments are not applied in your Robaws environment.

Master data

Setting

Explanation

Leave periods

Create leave periods and public holidays, with a name, a colour and a period. They colour the background of those days in the calendar.

Planning type

Create the categories you give to a planning item, each with a colour. You see that colour in the calendar.

Planning resource

Create fixed teams of employees and equipment that you schedule in one go.

Recurring periods

Create the rhythms with which a planning item recurs, for example every six months.

Time-off categories

Create the categories with which you schedule an absence, such as illness or leave, each with a colour. If you work with hour types, you also link the hour types to a category here.

You also find Leave periods, Planning type and Planning resource under Settings > General, in the master data under Planning. These are the same lists.

Overview

Here you determine what the table view of the dayplanning looks like. What you change here applies to every user. In addition, every user can still create and set up their own overviews.

Setting

Explanation

Quick filters

Choose which filters are ready by default in your overview. Maximum 10.

System view

Choose which columns you want in the table view, and in which order.

Waiting room overview

The same settings as above, but for the waiting room at the bottom of the calendar: the planning items that do not have a start and end date yet.

Setting

Explanation

Quick filters

Choose which filters are ready by default in the waiting room. Maximum 10.

System view

Choose which columns you want in the waiting room, and in which order.

Settings

Setting

Explanation

Execute agenda synchronisation

Link the entire dayplanning to an external calendar. How that works is explained in Synchronising the dayplanning with your Google/Office calendar.

Default planning mode

Choose how the calendar is laid out by default: per Employee (default), Project, Equipment, Planning resource or, if you work with execution phases, Executionphase. Every user can still change that in the calendar.

Start time and End time

The first and the last hour of the calendar (by default 05:00 and 19:00). If you plan in the week or month view, a new planning item gets these hours.

Filter on project status

Choose the statuses of the projects you can choose in a planning item. If you leave this empty, you can choose all projects.

Filter on employee status

Choose the statuses of the employees you can choose in a planning item. If you leave this empty, you can choose all employees.

Filter on material status

Choose the statuses of the equipment you can choose in a planning item. If you leave this empty, you can choose all equipment.

Filter on installation status

Choose the statuses of the installations you can choose in a planning item. If you leave this empty, you can choose all installations.

Show weekends

Switch this on to show Saturday and Sunday in the calendar.

Show border on conflicted items

Switch this on to give planning items with a conflict an orange border: the same employee or the same equipment is double-booked at the same moment.

Show border on items with no work order linked

Switch this on to give a past planning item without a work order a red border. On every item you then also see the number of work orders.

take hours to work order

Switch this on to give every employee an hour line with the planned hours when you create a work order from a planning item. If Show material hours is switched on in the work order settings, the equipment also gets its hours.

Overview

Below the switches you manage the periods you can choose in the calendar. With Add you create a new one. Per period you fill in:

Setting

Explanation

Name

The name in the choice list of the calendar, for example 'Week'.

Periodicity

How long the period you see is, for example 1 week.

Timeslot

Into which slots that period is divided, for example 2 hours.

Type

HORIZONTAL: the employees, the equipment, ... as rows, the time from left to right. VERTICAL: the employees, the equipment, ... as columns, the hours from top to bottom. LIST: the planning items one below the other, as a list.

Extra fields

As with all modules in Robaws, you can also create extra fields of your choice for a planning item. Your employee sees them in Wappy.

Tip: if you create the same extra fields for projects, orders, the dayplanning and work orders, Robaws takes over their content when you create a planning item from a project or order, or a work order from a planning item.

Standard texts

If you mail the planning from the overview of the dayplanning, you can include two tables in your email template with a replacement code: ${planningTable} (a planning table per day) and ${orderPlanningTable} (a list of the assignments, without absences). Here you determine what is in those tables.

Setting

Explanation

Planning table employee column

What appears per employee in the employee column of ${planningTable}.

Planning table execution column

What appears per planning item in the execution column of ${planningTable}.

Order planning table

What appears per planning item in ${orderPlanningTable}.

Templates

Create templates for your planning items here: a planning item in which certain fields are already filled in. Click Add, give the template a name and click Create blank template. Via Edit template you then fill it in. You choose the template when you create a new planning item, or in the calendar via the Templates button.

Planning item template

Here you determine what appears on the coloured blocks in the calendar, and on the calendar pdf. There is a block per layout of the calendar (employee, project, equipment, ...). If a layout has no block of its own, Robaws uses the Default block.

Setting

Explanation

Template

What appears on the block in the calendar. Use replacement codes for this.

Use the same template for the pdf

Switch this on to show the same text on the calendar pdf as in the calendar.

Custom PDF template

(visible if Use the same template for the pdf is switched off) What appears on the calendar pdf, also with replacement codes.

Default documents

Set up the default documents you want to use from a planning item here. They appear on the planning file under the Default documents action button. You can still edit them there before you send them to the customer.

Email templates

Here you set up the email templates for the dayplanning, with a fixed text (possibly with replacement codes) and certain attachments. There are two lists:

  • you use the top list to mail the planning of a period from the overview of the dayplanning. ${planningTable} and ${orderPlanningTable} only work here.
  • you use the Planning item list to mail from a planning item, for example to confirm an appointment to the customer.
