In this article we guide you step by step through the Wappy settings.


  • some settings are common to all Wappy users; you set these via Robaws
  • some settings are personal; the Wappy user can set these themselves via Wappy


What a Wappy user sees and can do in Wappy also depends on the licence that has been set on the user


Common settings


Go to settings > work orders > Wappy


Setting

Explanation

Track and Trace

Tick this if you want to use the track & trace function for at least one of the Wappy users.

Send work order directly to customer

The employee gets the option to send the work order to the customer straight from Wappy. The first e-mail template is used as the basis for this e-mail. When sending, the e-mail address can be selected or a different e-mail address can be entered.

Can look up projects

Tick this if the Wappy user may create a work order for an existing project themselves.

Can look up customers

Tick this if the Wappy user may create a work order for an existing customer themselves.

Enter pause

Tick this if the Wappy user may enter a break themselves (another option is to assign a default break via the employee file).

Enter the start/stop time

Tick this if the Wappy user has to be able to enter a start and stop time when registering their hours.

Accelerated entry start/stop

Tick this if you want to fill in the details first before the time starts running when the start/stop button is used in Wappy.

Activities

Tick this if the Wappy user may register an activity themselves on their registered hours or materials. This is important for the recalculation.

Hour types

Tick this if the Wappy user may register an hour type themselves on their registered hours. This is important for the time check.

Post

Tick this if the Wappy user may assign a post to the registered hours or materials themselves. This is important for the recalculation.

Show/edit total worktime

Tick this if the Wappy user may adjust the total working time themselves.

Show add time button

Tick this if the Wappy user has to be able to register their hours manually, without using the start/stop button.

Show all customer contacts

Tick this if the contact details of the customer contacts have to be shown in Wappy.

Show installations

Tick this if the Wappy user has to be able to consult the installations in Wappy.

Show tasks

Tick this if the tasks may be shown in Wappy.

Show order lines

Tick this if the lines from the 'items' tab of the linked order have to be shown in the work order in Wappy. The Wappy user can register the executed quantities there; these come back in Robaws in the 'executed' column on your order.

Show orders

Tick this if you want to add an 'orders' module in Wappy. You can find this in the left-hand column.

Show material hours

Tick this if you want to register hours for a piece of equipment in Wappy and take these along to the work order in Robaws.

Show waiting room

Tick this if the waiting room has to be visible in Wappy. You can then create work orders from the waiting room.

Show document folders

Tick this if the documents on the Info tab of a work order may be shown in the same folder structure as in Robaws. If this is switched off, the Wappy user sees one flat list. Read more about this under files in Wappy.

Show time-off requests

Tick this if the time-off requests have to be visible in Wappy. The employee can then request time off themselves and consult their budget.


Two of these settings need something extra. The waiting room only appears for a Wappy user whose user role also gives them access to it. Time-off requests additionally requires the right Wappy plan; see Wappy | Licences.

Minutes interval

The interval in which the time can be entered (e.g. 15 minutes).

Number of days in the future that the planning is visible

The list of work orders is limited to this number of days in the future.

Number of days in the past that the planning is visible

The list of work orders is limited to this number of days in the past. Once this term has passed, work orders that had no changes yet in Wappy are deleted automatically. Work orders that already had changes in Wappy remain, with an error message stating that they could not be deleted automatically.

Number of days in the past that completed work orders are visible

The list of completed work orders is limited to this number of days in the past.

Project statuses

The projects that can be selected when creating a work order can be limited to a particular number of statuses.

Customer statuses

The customers that can be selected when creating a work order can be limited to a particular number of statuses.

Employee statuses

The employees that can be selected when registering the hours can be limited to a particular number of statuses.

Installation statuses

The installation you can select can be limited to a particular number of statuses.

Order statuses

The orders that can be selected when creating a work order can be limited to these statuses.

Workorder chat

In the work order in Wappy you have a chat function at the top right. Via this setting you can determine where everything that is entered in it is shown in Robaws. You can choose to switch this chat function off, to take it along to the linked project or to take it along to the linked order. If you are mentioned in the chat, you receive a notification about it in Wappy. Whether that notification appears under the linked project or under the linked order follows from the choice you make here.

Dark mode

Choose on / off / automatic (= depending on the incoming light)

Language

Several languages are possible in Wappy. We have provided a translation in the chosen language for all standard fields. Do bear in mind that this is not translation software: the content of the fields (e.g. the name of an item, information coming from Robaws, etc.) and the extra fields you have created yourself in Robaws are shown exactly as you entered them in Robaws.

Photo upload quality

High / Medium / Low: determines the resolution of the photos that are sent through via Wappy. If you choose High, this may cause your work order to be sent through much more slowly. We recommend Medium or Low if a lot of photos are being sent through.


Work order templates


At the bottom of the Wappy settings you manage the work order templates. With such a template you determine which folder structure a work order is given. That way your team immediately knows where a photo or document belongs, and afterwards your files are also in the right place in Robaws.


Once created, you link a template to your work orders. Every work order that comes out of it then follows the same structure, including when you create it straight from a planning item.


These templates work together with the Show document folders setting above and with the folder selection when adding files. You will find the full explanation in Wappy | Files.
