Rental tickets | Settings
In this article we help you step by step through the 'rental ticket settings'.
You go to settings > rental tickets to see the page with the rental ticket settings.
Master data
Setting | Explanation |

Extra services rental tarifs | Here you can create extra services that you want to add to a rental ticket. |
To create an extra service, you have to fill in the following settings:
Setting | Explanation |

Name | Name of the extra service - This name is shown on the rental tickets and is used on the invoice/work order. |
Unit | This unit is used on the line of the extra service on the invoice/work order. |
Type | Here you can choose 3 different options (N/A, IN, OUT), see the explanation below |
Type of extra service
N/A:
- on the rental ticket you first fill in the number IN or OUT and you can select this service in addition if you want.
- this allows the number IN or OUT to differ from the number of the extra service
- Example: I rent out 3 pumps and deliver them to the customer myself: OUT = 3 pieces, extra service 'transport' = 1 piece
IN or OUT
- on the rental ticket you only fill in this service, and this immediately also causes an IN/OUT registration of the same number.
- the number IN/OUT therefore cannot differ from this service.
- Example: I rent out 3 pumps and charge maintenance each time at the end of the rental period: IN = fill in nothing, extra service 'IN maintenance' = 3 pieces.
Overview
Determine here what the first tab in the overview of the rental tickets looks like.
What you adjust via the settings changes for every user. In addition, every user can also choose to create their own overview and set it up as they wish.

Determine a few specific settings for the rental tickets here

Change next number | Set the next number that the automatic numbering of the rental tickets should receive. |
Invoice strategy | Choose here whether you want to create work orders or invoices when a booking period is closed. |
Templates
In Robaws you can make your own templates for rental tickets. This means that you draw up a rental ticket once and can use it later as a basis for drawing up new rental tickets.
You can still edit the template afterwards if necessary; this changes nothing about your ongoing rental tickets.
To set up a template, you click add, fill in a name for your template and can then get started in 2 ways:
- either you start from an existing rental ticket (click choose existing)
- or you start from an empty rental ticket (click create blank template)
Extra fields
Just as with all modules in Robaws, in the rental tickets too you can make extra fields of your choice.
Set up one or more PDF templates to display the rental tickets in PDF format. You can determine yourself how the heading is laid out, which title appears on the PDF, which columns are visible with the lines, and a number of other settings.
Here you also enter the translations of the PDF if you want to send rental tickets in other languages.
Statuses
You can determine the statuses of a rental ticket yourself. A number of them are set up by default, but you can adjust, delete or add to these. Note that the name is case-sensitive.
Default documents
Set up the default documents you want to use in the rental tickets module here. These then appear in the rental tickets under the action button 'default documents'. You can still edit them there before you send them on to the customer.
E-mail templates
Here you can set up an e-mail template that you want to use in the rental tickets. This means you can prepare various e-mails with a particular text (with or without replacement codes), and with particular attachments.
