Equipment | Settings

Via Settings > Equipment you determine how the equipment module works: what the overview screen looks like, with which templates you create new equipment, which statuses it gets and which documents and e-mails you draw up from the equipment. This page is only visible to administrators. Your changes are saved as soon as you leave the page. Also take a look at the general settings: they have an impact on several modules, and therefore on your equipment as well. How to work with equipment is explained in Equipment | General.

Overview

Here you determine what the views of the overview screen of your equipment look like. What you change here applies to every user. In addition, every user can still create and set up their own overviews.

Setting

Explanation

Quick filters

Choose which filters are ready by default in your overview.

System view

Choose which columns you want in the table view, and in which order.

Card info

Set the title, the subtitle and the fields of the card in the kanban and map views. A maximum of 8 fields in total.

Tags

Set up labels that appear on a card as soon as a piece of equipment meets your condition. At most 10 per module.

Card info and tags apply to the whole environment. You set the columns separately per overview.

Extra fields

As in all modules in Robaws, you can also create extra fields of your choice for equipment, for example the year of manufacture or the licence plate. They are also included in the Excel export of the overview.

Statuses

Create the statuses of your equipment here, for example 'available', 'under repair' or 'out of service', and give every status a colour for the overview.

Setting

Explanation

Default status

The status of equipment that you create from a blank template, and of equipment that Robaws creates automatically with a stock change. If you create equipment from another template or via Duplicate, it gets the status of that template or of the duplicated equipment.

Templates

You always create new equipment from a template. A template is an example piece of equipment in which you already record what is the same for every new piece of equipment of that kind, such as the brand, the item, the supplier or the status. If, for example, you create the templates 'Drill' and 'Van', you choose the right kind straight away for a new piece of equipment.

  1. Click Add and give the template a name.
  2. Choose Create blank template to start from an empty piece of equipment, or Choose existing to take an existing piece of equipment as an example.
  3. Via Edit template you fill in the fields of the template.

A template does not appear in your overview. The files and tasks of the template are copied to every new piece of equipment.

As long as no template exists at all, you don't see an Add action button in the equipment overview.

Default documents

Set up the default documents that you want to use from equipment here, for example a loan form or an inspection report. They appear on the equipment file under the Default documents action button.

Email templates

Create the email templates with which you send an e-mail from the equipment here, with a fixed text and fixed attachments, for example the barcode or a default document. Per template you also determine which status the equipment gets automatically after sending and after the e-mail has been read.

Settings in other modules

A few settings for equipment are located elsewhere in Robaws:
