Wappy | Hours overview

The 'hours overview' is a detailed overview in which the presences and absences of an employee are kept.
It gives insight into the presence and absence hours of an employee, linked to their weekly schedule.
You can consult and adjust this overview in the hours overview in Wappy.


The employee is given the option to register presences and absences:


  • Presence: hours worked that are achieved and registered via one or more work orders.
  • Absence: hours that could not be worked because of illness, holiday, etc. This absence is registered straight through the 'hours overview'.


Presences and absences are always subject to a time check in Robaws. Only after the achievements have been checked and approved are they shown with a green 'check' in the 'hours overview' in Wappy


The 'hours overview' is available from the Basic licence of Wappy onwards. The condition for using it is that an employee is linked to the user file.


Consulting the hours overview


You can consult the hours overview in the menu of Wappy.


All presences and absences are then shown in a weekly overview. Next to the week number, the total number of hours achieved is shown against the weekly schedule that has been assigned to the employee.
Below the week number you can consult the number of hours per day. These are shown in different colours.


Colour

Meaning

Green

The number of hours to be worked has been achieved.

Orange

More hours have been worked than were planned in the weekly schedule.

Red

The number of hours to be worked has not been achieved.


If you click on a particular day, you get a concrete achievements overview of all registered presences and absences per day.
You can consult the underlying work order by clicking on an achievement (presence).


Tip: via the information icon (i) at the top right of the hours overview you get a legend of the colours and icons that are used, as well as the weekly schedule that was registered.


In the settings of the hour types you can choose whether or not to let these count towards the hours schedule. This affects the hours overview in Wappy.


Registering presences and absences via Wappy


The presences and absences become visible in the 'hours overview' in Wappy.
Hours that have already been registered via Robaws and approved in the time check are shown there already.


It is also possible to register hours via Wappy that end up in the hours overview. This can be done in 2 ways:


  1. Registering hours worked via a work order and sending them to Robaws
  2. Registering presence and absence hours via the hours overview


Registering hours worked via a work order


You can register hours worked via a work order in Wappy. This is done via the second tab on the work order.
These hours worked are registered as presence hours and you will be able to consult them in the hours overview on the date of the work order.


Registering presence and absence hours via the hours overview


To register presence and absence hours via the hours overview, you go through the following steps:


  1. Click '+' at the bottom
  2. Choose the date for which you want to register hours by clicking the calendar icon
  3. Choose 'presence' or 'absence'


If you choose presence, a good many fields are shown that you can fill in. Here you enter all the information that matters for these hours worked. If you click send at the bottom right, these hours are registered in the hours overview and a work order is created in Robaws.
If you choose absence, only 2 fields are shown that you can fill in. Here you enter the number of hours and the hour type. No work order is sent through for this.


The registered hours become visible in the time check in Robaws, where you still have to save and approve them.
