Project planning | General

In the project planning you schedule your projects and quotations on a timeline, in the medium to long term. This way you see at a glance which sites are running when, how many employees you need per day and what you expect to invoice per month compared with what has already been invoiced. For the planning per day and per employee you use the dayplanning. The project planning module is included in the Go and Pro licences. You switch it on per user with the Project planning permission in the user role.

Overview screen

Project planning: overview with coloured phases and period buttons

In the left-hand column your projects and quotations are listed one below the other. The coloured bars next to them are their phases. At the top there are two rows with the forecast: Financial and Workdays.

  • You see projects per Planning group. If you fill in that field on the project file, related sites are shown together. See Dividing your dayplanning into categories and groups. Projects without a planning group are under Projects.
  • Quotations are always together under Quotations. This way you can also schedule work you have not won yet.

You determine which projects and quotations appear with Project statuses and Quotation statuses in the settings. A project or quotation only appears if it has a phase with a start and an end date in the period shown.

  • At the top right you choose the period: week (default), 1 month, 3 months, 6 months or 2 years. Two years is the widest view, not a limit on how far ahead you can plan.
  • With the search bar you search in your projects and quotations, for example by number, customer, address or phase name.
  • By default the projects and quotations are sorted by number. If you switch on Sort by date in the settings, they are sorted by the date of the project or quotation.

Colours

  • A phase gets the colour of the phase with exactly the same name in the settings. If it has no colour in the settings, the bar is blue.
  • On a quotation phase, the amount already invoiced is shown in the bar.
  • Leave periods with a colour colour the background of those days.

Scheduling phases

A phase is a part of the work with a name, a start and an end date and a number of workdays, for example 'shell works' or 'finishing'. You schedule phases in two places:

  • On a project: on the Planning tab, sub-tab Project planning. Per phase, fill in the Name, the Startdate, the End date and the Workdays.
  • On a quotation: on the Financial planning tab. There you also fill in per phase which part of the amount you invoice with that phase. See Financial planning on a quotation and project.

Quotation: financial planning with phases, percent, fixed price and invoice

Every new project and every new quotation automatically gets the phases from the settings, without dates. You only have to fill in the dates and workdays. On a project or quotation you can also add a phase that is not in the settings; it is only visible there and becomes blue.

If you turn a quotation into a project, the phases of the quotation only go along if the project template itself has no phases. Otherwise the project gets the phases of the template.

Working in the planning

In the overview you adjust your planning directly:

  • Dragging: drag a phase to another date. Right after that, the link Move everything briefly appears: click it to move the next phases of the same project or quotation along by the same amount.
  • Making it longer or shorter: drag the edge of a phase.
  • A new phase: select a period on the line of a project or quotation. Robaws creates the phase and opens it immediately.
  • Opening a phase: click a phase to open the Phase window. There you adjust the Name, the dates, the Workdays and, for a quotation, the invoicing. Via the icon at the top you open the project or the quotation, and with the bin you delete the phase.

Forecast

At the top of the overview Robaws calculates two things for you:

  • Workdays: how many employees you need per day, based on the Workdays of all phases running on that day.
  • Financial: per month the Forecast (what you expect to invoice) and what has been Realised (what has already been invoiced). The amounts come from the financial planning of your quotations.

Forecast: financial forecast and realised, with the Workdays row

How Robaws calculates those figures exactly is explained in How does the forecast in the project planning work?

Action buttons

At the top of the project planning there are two action buttons. The name of an action button appears as soon as you hover over it with your mouse.

Excel

Export the phases in the period shown to Excel, with per phase the project or quotation, the customer, the address, the workdays, the forecast and what has been realised.

Gantt chart per project

Do you want to plan a project in detail, with tasks, milestones and dependencies between them? Then use the Gantt chart of that project, via the Project planning action button on the project file. The Gantt chart is included in the Pro licence. It is separate from this overview: what you plan in the Gantt chart does not appear in the project planning and does not count towards the forecast. More explanation in How the Gantt chart works.
