Maintenance services | Settings
Via Settings > Maintenance you determine how the maintenance services module works: what the overview screen looks like and which statuses your maintenance services get. This page is only visible to administrators. Your changes are saved as soon as you leave the page. A few other settings for maintenance are located elsewhere in Robaws: you find them at the bottom. How to work with maintenance services is explained in Maintenance services | General.
Overview
Here you determine what the views of the overview screen of your maintenance services look like. What you change here applies to every user. In addition, every user can still create and set up their own overviews.
Setting | Explanation |
|---|---|
Quick filters | Choose which filters are ready by default in your overview. |
System view | Choose which columns you want in the table view, and in which order. |
Card info | Set the title, the subtitle and the fields of the card in the kanban view. A maximum of 8 fields in total. |
Tags | Set up labels that appear on a card as soon as a maintenance service meets your condition. At most 10 per module. |
Card info and tags apply to the whole environment. You set the columns separately per overview.
Statuses
Create the statuses of your maintenance services here. Give every status a name, a colour and a category.
Setting | Explanation |
|---|---|
Default status | The status that every new maintenance service gets. |
The category determines what Robaws does with the maintenance service:
Category | What it does |
|---|---|
Active, To do | The maintenance has not been completed yet. |
Done | The maintenance has been carried out. You can no longer change the forms of the maintenance service. If Sync next execution with actual completion is switched on in the maintenance service template, Robaws calculates the next execution from the date in Executed on. |
Not done | The maintenance has not been carried out. You can no longer change the forms. |
For example, create the statuses 'To be scheduled' (To do), 'Carried out' (Done) and 'Customer not at home' (Not done).
Maintenance service templates
In a maintenance service template you record how often a maintenance recurs, how many days in advance Robaws creates the maintenance service and the order, with which order template, and which items, forms, documents and tasks belong to every maintenance. You create your templates via Settings > General > Master data > Maintenance service templates. Which fields a template has is explained in Service and maintenance: step by step from maintenance schedule to work order.
Maintenance on the PDF
A maintenance service does not have a PDF of its own. You put the maintenance on the PDF of the work order or the order:
- In the pdf template of your work order or order, switch on Show maintenance. With Show maintenance forms and Show maintenance photos, the forms and the photos are added as well.
- Via Settings > General > Pdf > Maintenance info you determine which text appears on the PDF per maintenance service, for example the status, the report and the items used.
Settings in other modules
Setting | Where | Explanation |
|---|---|---|
Order template | Create an order template of the Maintenance type. You choose it in your maintenance service template. | |
Maintenance | Items, on an item of the Installation type | Link a maintenance service template to the item. Every installation with this item takes over the maintenance schedule. |
Maintenance schedule | On the installation | Determine per installation which maintenance is needed and when the next execution is. |
