Delivery notes | Settings

Via Settings > Delivery notes you determine how the delivery notes module works: which columns you see on the lines, how your delivery notes are numbered, what appears on the PDF and which statuses they get automatically. This page is only visible to administrators. Your changes are saved as soon as you leave the page. Also take a look at the general settings: they have an impact on several modules, and therefore on your delivery notes as well. How to work with delivery notes is explained in Delivery notes | General.

Overview

Here you determine what the views of the overview screen of your delivery notes look like. What you change here applies to every user. In addition, every user can still create and set up their own overviews.

Setting

Explanation

Quick filters

Choose which filters are ready by default in your overview.

System view

Choose which columns you want in the table view, and in which order.

Card info

Set the title, the subtitle and the fields of the card in the kanban and map views. A maximum of 8 fields in total.

Tags

Set up labels that appear on a card as soon as a delivery note meets your condition. At most 10 per module.

Card info and tags apply to the whole environment. You set the columns separately per overview.

Settings

At the top of this card you change the number of the next delivery note via Change next number.

Setting

Explanation

Show line nrs.

Switch this on to add the Nr. column (the line number) to the lines of the delivery note.

Signature

Switch this on to show a box for the signature of your customer at the bottom of the PDF. If the delivery note has already been signed digitally, the signature appears in that box. If this is switched off, a signature only appears on the PDF if the delivery note has been signed digitally.

Show post nr.

Switch this on to add the Post column to the lines of the delivery note. In it you link a line to a post.

Default remarks

The text that automatically appears in the Remarks field of every new delivery note, for example a fixed instruction for the driver. The remark also appears on the PDF.

If you work with a PDF template, you choose the columns of the PDF in that template. Show line nrs. and Show post nr. then only determine the columns on the delivery note file.

Extra fields

As in all modules in Robaws, you can also create extra fields of your choice for a delivery note. They are also included in the Excel export of the overview.

Tip: if you create the same extra fields for projects and delivery notes, Robaws takes over their content when you make a delivery note from a project.

Pdf

Setting

Explanation

Templates

Set up one or more PDF templates for your delivery notes: which columns appear on the PDF, in which layout, and which header appears at the top, also in other languages. Per template you determine, among other things, whether the extended description of the lines appears on the PDF (Show extended description) and whether the project is mentioned (Project on pdf). Your templates appear on the delivery note file under the Pdf action button.

Statuses

Create the statuses of your delivery notes here and give every status a colour for the overview. With the following fields you let a status follow automatically from what happens to the delivery note. Each time, fill in one of your existing statuses. If you leave a field empty, the status remains unchanged.

Setting

Explanation

Default status

The status every new delivery note gets.

Invoice status

The status the delivery note gets as soon as you make an invoice of it.

Email templates

Create the email templates with which you send a delivery note here, with a fixed text and fixed attachments, for example the delivery note and your terms and conditions. Per template you also determine which status the delivery note gets automatically after sending, after the e-mail has been read, after signing and when your customer requests a change. How to have a delivery note signed digitally is explained in Having documents signed digitally
