In this article we take you step by step through the settings of the progress claims in Robaws. Also have a look at the general settings, because they contain quite a few settings that have an impact on several modules, including the progress claims.


You go to settings > progress claims to see the page with the progress claim settings.


After you have made changes in the settings, it is important to click 'Activate settings' at the bottom right in order to actually apply them within your Robaws environment.


Overview


Here you determine what the first tab in the overview of the progress claims looks like.
What you adjust via the settings, you change for every user. In addition, every user can also choose to create their own overviews and set them up as they wish.

Choose here which filters are ready by default in your overview.

Determine which columns you want in your overview, and in which order you want to see them.

Change next number

Change the number of the next progress claim. The structure cannot be configured.

Invoice linetext

Enter here the text that will appear on the invoice when you invoice a progress claim via simple invoicing. Use replacement codes for this. For example: Settlement claim statement: ${nr} ${fromDate} - ${toDate}

Revision invoice linetext

Enter here the text that will appear on the invoice when you invoice a progress claim with a price revision via simple invoicing. Use replacement codes for this. For example: Revision claim statement: ${nr} ${fromDate} - ${toDate}

Filter out text & zero lines when creating invoice detail

Tick this to leave out the zero lines of the progress claim (lines that you do not adjust on this progress claim) when you invoice a progress claim via detailed invoicing.

Use of allocation keys

Tick this to be able to apply an allocation key both in the quotation and in the progress claims.

Invoicing

Determine the invoicing method of the progress claim: simple (1 summarising line on the invoice, referring to the progress claim) or detailed (all lines of the progress claim appear on the invoice)

Phase billing cumulative strategy

Determine the invoice strategy of the progress claim: simple (only the current progress claim is stated on the invoice), cumulative (all previous progress claims and invoices are stated on the invoice) or ask (every time you want to invoice a progress claim, you are asked to choose between simple and cumulative)


Extra fields


Just as in all modules in Robaws, you can also create extra fields of your choice in the progress claim.
Tip: if you create the same extra fields on the progress claim and on the project, the content of the fields can be copied over automatically.

Hide 0 on pdf

Tick this so that the zero lines of the progress claim (lines that you do not adjust on this progress claim) are not shown on the pdf

Show total incl. VAT

Tick this to show the total including VAT on the pdf

Statuses


You can define the statuses of the progress claim yourself. A number of them are set up by default (draft, sent, approved, invoiced, etc.), but you can adjust, delete or add to them. If you open a status, you can define the name and the colour. The colour is shown in the overview of the progress claims. If you do not want to work with colours, change the colour of all statuses to white.
You can set the status to change automatically when a certain action takes place. Note that the status you choose has to exist and that the name is case sensitive.

Choose the status a new progress claim is in

Invoice status

If you create an invoice from the progress claim (via the action button at the top), the progress claim changes to this status


Default documents


Set up here the default documents you want to use in the progress claim module. They then appear on the progress claim record under the Default document action button. You can still edit them there before you send them to the customer.


Email templates


Here you can draw up the email templates you want to use in your progress claims. This means that you can prepare various emails with a certain text (with or without replacement codes) and with certain attachments (e.g. the progress claim + your terms and conditions).
