Sending invoices to your accountant without an integration

The full bookkeeping can be prepared in Robaws and then sent to the accountant. To get everything into your accounting software correctly, you can use the link with an existing integration.

If the accounting software you work with is not in the list of integrations, there are still 2 options to process everything from Robaws:

1. Sending by UBL e-mail
2. Downloading via UBL download

UBL e-mail

You use this function when your accounting software uses a digital letterbox. In that case a UBL file is exported to the e-mail address of the accounting software, so that the invoice can be processed further there.

The following steps have to be followed:

1. Activate this setting via settings > invoices/incoming invoices > UBL e-mail
2. In the field 'UBL e-mail', fill in the e-mail address of the digital letterbox
3. In the invoice overview, or in the invoice itself, click the 'temple' action button to send the invoice to that e-mail address
4. Further processing of the invoice takes place in the accounting software itself

UBL download

You use this function when your accounting software does not use a digital letterbox. In that case a ZIP folder is created containing all the UBL invoices of the invoices you selected for download. You can use these files to process further in your accounting software.

The following steps have to be followed:

1. Activate this setting via settings > invoices/incoming invoices > UBL download
2. In the overview, select the invoices you want to convert into a download
3. In the overview, click the computer action button with the + sign in it to take the download
4. We validate the invoices. If the validation succeeds, we proceed to export the UBL. If the validation does not succeed, we show a window with the message that the export cannot go ahead (for example: the incoming invoice does not contain any lines).
5. Further processing of the invoice takes place in the accounting software itself
