Quotations | Quotation details
When drawing up a quotation, a number of standard fields are shown at the top. If you wish, you can supplement these yourself with extra fields of your choice.
Both these standard fields and the extra fields can be used as replacement codes, and as columns in the quotation overview.
Standard field | Explanation |

Date | The date of the quotation is completed automatically when the quotation is created. It can be changed manually. |
Project | This refers to the project that is linked to the quotation. It is completed automatically as soon as a project is created from the quotation, but it can also be completed manually. |
Customer | Refers to the customer (the quotation will be in this name; this is the person who signs and pays) |
Contact | If contact persons are recorded in the customer file, you can assign a contact person here for this quotation. |
Endcustomer | Refers to the end customer (the person who is involved in the quotation but who does not sign and does not pay). Do you not see this field? Go to settings > general > settings > endcustomer |
Customer reference | The reference of this quotation; it is stated on all further communication with the customer (invoice, project, subscription, order, etc.) |
Company | This field is only visible if you have set up multiple companies in your Robaws environment. Here you choose which of your companies draws up this quotation. |
Kilometers | The distance between your company and the project address (one-way distance). This is based on the company address entered in settings > general > company, and is completed automatically. It can be changed manually. In a calculated quotation this field can be used in calculations, for example to work out the travel allowance. |
Concerning | If you wish, you can give the quotation your own reference. It is carried over to the project as the planning name. |
Status | The quotation can go through a number of statuses. Most statuses are changed automatically, but this can also be done manually. |
Active on project | This checkbox is only visible if a project is linked to the quotation. If it is ticked, this quotation will be included in the recalculation of the project; if not, it will not. This is useful, for example, to be able to link different revisions of a quotation to a project without including them in the recalculation. In the project overview a distinction is made between quotations that are active (blue) and not active (orange) on the project. |
Assignee | The name of the user who created this quotation is completed automatically. It can be changed manually. |
Next to the standard fields there are a number of date fields, which have several functions: |
- they give an overview of the timing on the quotation file
- they can be used in the quotation as a replacement code (for example the due date of the quotation)
- in the quotation overview you can add them as a column and filter or sort on them
- they make sure that some statuses change automatically:
- once the due date is reached, the status of the quotation automatically changes to "expired"
- once the follow up date is reached, the status of the quotation automatically changes to "to follow up"
Date field | Explanation |

Due date | The due date is completed automatically when the quotation is created. By default it is set to 30 days, but this can be changed in settings > quotation > due date. It changes automatically if the quotation date is changed, but it can also be adjusted manually. Purpose: until when is this quotation valid? |
Follow up date | The follow up date is completed automatically when the quotation is created. By default it is set to 15 days, but this can be changed in settings > quotation > follow up date. It changes automatically if the quotation date is changed, but it can also be adjusted manually. Purpose: when do I need to follow up this quotation / give the customer a call? |
Received | This date is completed automatically on the day the quotation is created. It does not change if the quotation date is changed, but it can be adjusted manually. Purpose: when did I receive this quotation request from the customer? |
Deadline | The deadline is completed automatically when the quotation is created. By default it is set to 2 days, but this can be changed in settings > quotations > number of days before deadline. It changes automatically if the quotation date is changed, but it can also be adjusted manually. Purpose: when do I have to send this quotation to the customer at the latest? |
Tenderdate | To be completed yourself if a tender date is known. |
