Importing items
There are several ways to add items to Robaws, and one of them is the import of an item list. You can also update existing items in bulk, for example to adjust prices. The item import is a little more complex than the import of other modules, because there are a great many options.

Adding items
If you want to add items to Robaws, you can do so by:
- importing the items from a webshop (advantage: the webshop can update the prices daily)
- importing the items from an item list in Excel (this is explained further below)
- entering the items manually in Robaws, one by one
Before you start an item import, it is important to understand the options of the item card properly.
Importing an item list
To import items into Robaws, you take the following steps:
- Collect your items in an Excel file. You can sometimes get an item list from your supplier to work from.
- Complete this Excel yourself with, for example, your margin and selling price.
- You then copy this data into the Robaws import template.
- Import this Robaws template.
Filling in the import template correctly
You find the Robaws import template in settings > import > download template.
The item import is always based on the 'articles' tab. In addition, you can use the other tabs to add extra information, depending on how you work.
Tab 'articles'
The 'articles' tab contains the general information of the item. This tab covers the fields in Robaws that are found under:
- Item data (except stock lines and alternative units)
- Selling price
- Cost price
Have a look at the overview of the column titles and the field that is meant in Robaws, so you can fill in this tab correctly.
Filling in the additional tabs correctly
Depending on how you work in Robaws, you can fill in several additional tabs, always in combination with the 'articles' tab. On every additional tab you have to reference the 'articles' tab to indicate which item this information belongs to.
- fill in the 'articles' tab
- give all your items a unique number in the 'NR' column (without unique numbering you cannot import additional tabs!)
- fill in the additional tabs starting with 'article' that you want to use correctly (see below)
- on these additional tabs, reference the unique number from the 'articles' tab. You do this in the column provided for it, see below. You can sometimes fill in several lines that reference the same item number (for example entering 3 suppliers for one item)
Overview of the additional tabs
Tab 'article suppliers' (item suppliers)
Item suppliers are used to link a supplier's purchase price to an item. You can have several item suppliers for 1 item.
Reference: add the same value in the ARTICLENR column (tab 'articlesuppliers') as in the NR column (tab 'articles')
Have a look at the overview of the column titles and the field that is meant in Robaws, so you can fill in this tab correctly.
Tab 'articlestocklocation' (stock locations of the item)
This lets you enter the details per stock location for this item.
Reference: add the same value in the ARTICLENR column (tab 'articlestocklocation') as in the NR column (tab 'articles')
Tab 'articlesalesunits' (alternative sales units)
On this tab you can import alternative sales units for your item.
Reference: add the same value in the ARTICLENR column (tab 'articlesalesunits') as in the NR column (tab 'articles')
Tab 'articleadditionallines' (additional line items)
If you want to insert additional line items on an item, you can do so on this tab. Please note, the additional line items (= items) have to exist in Robaws already!

Tab 'articlecomposites' (composite items)
Please note, this is only for assembly items! Not to be confused with posts!
The components (= items) have to exist in Robaws already.

Tab 'articlemaintenanceschedules' (maintenance template)
For each item, enter straight away which maintenance template applies. Please note, this only works in combination with item type 'installation'.
Reference: add the same value in the ARTICLENR column (tab 'articlemaintenanceschedules') as in the NR column (tab 'articles')
Tab 'articletierprices' (tier prices and prices per price group)
Use this tab if you want to set different selling prices for one item, depending on the number of units bought (tier prices) or on the type of customer (price groups).
