Performing an action in bulk

Yes. With bulk actions you run the same action in one go for several documents. You start them in the overview screen of a module: right-click a line and choose bulk actions.


If you do not want to run an action but change a field value, use bulk edit instead. Both work in the same way: you always choose between a number of selected items and all items in the overview.


Example: you want to send several invoices to the customer at the same time via Peppol. You do that with a bulk action in the invoices module.


Bulk actions are possible in the quotations, subscriptions, invoices, incoming invoices and dayplanning modules, among others. Which actions you get depends on the module: turning a quotation into a project, an order, a subscription or invoices, booking an invoice, forwarding it to the accountant or sending it via Peppol, or turning a planning item into a work order.



A bulk action cannot be undone. That is why Robaws first asks you to confirm before the action starts.


Running an action for a number of items


Use this when you only want to handle a few lines.


  1. Select the lines for which you want to run the action, using the checkboxes at the start of each line.
  2. Right-click and choose bulk actions.
  3. Select the action you want to run, for example 'send to customer [Peppol]'.
  4. Fill in any extra fields the action needs.
  5. Choose selected items. That is also the default choice.
  6. Click execute for ... items and confirm.


Locked items are skipped. If every selected item is locked, Robaws asks you to select at least one item that is not locked.


Running an action for all items in the overview


This handles every line in the overview. Those are either all items of the module, or the items that are left after your filters and search term. So filter first, to keep exactly the items you want to handle.


  1. Right-click any line in the overview and choose bulk actions.
  2. Select the action you want to run.
  3. Fill in any extra fields.
  4. Choose all items in view.
  5. Click execute for ... items and confirm.


Result and error messages


You see a progress bar while the action is running. If it succeeds, a message appears in the top right stating that the bulk action has been completed, together with the number of items changed. If something goes wrong, you get an error message, for example that you do not have the right permissions for this action.


If you close the window while the bulk action is still running, Robaws stops the action. The items that have already been handled stay changed.
