Item groups

In Robaws you can subdivide items into item groups. These item groups consist of main and subcategories and are shown in a tree structure. You can then use that structure conveniently in various places in Robaws and in Wappy, for example to find an item or to select a group.

Creating and managing item groups

In the overview screen of the items module you find the item groups via the item groups action button at the top.

Creating a new item group

• Click '+' to create a new item group
• On the right, under 'detail', add a name and, if you wish, a photo for this item group
• If you want to create a sub-level, also fill in a 'main item group' on the right. That group must already exist as an item group. This is how you build a tree structure.
• The item group is shown in Wappy, unless you clear the checkbox. In that case you can only consult the item group in Robaws and it will not be visible in Wappy.

Managing item groups in a tree structure

You can move your item groups to a main or sub-level by changing the main item group on the right. Always make sure that you create the main levels first, so that you can then create sub-levels and assign them to a main item group.

Deleting item groups

Do you want to delete an item group? Select that item group and click the waste bin at the top. The item group is deleted permanently, the underlying items or posts are not! This means that the underlying items or posts no longer belong to an item group.

If you click an item group, you will see at the bottom which items are in that item group.

Assigning an item group

Once the item groups exist, you can assign them to an item or to a post.
You do this by going to the item or the post and filling in the correct item group under 'item groups'.

Do note that you can only ever choose the lowest level!

e.g. in the following example you cannot add an item to the item group 'Wood', because at least one sub-level exists. You can add an item to the item group 'beams', 'battens' or 'sheet material'.

Using item groups

The item groups help you in various places in Robaws and Wappy:

• at line level, e.g. in a quotation: press F2 to search for an item from a particular item group
• you can also do this in an order, invoice, supply order, etc.
• filter your items and posts per item group so that you can, for example, make a bulk change to all those items
• use a separate item group to indicate that an item belongs to a special category (e.g. extra text that you want to put on the quotation or invoice quickly)
• in Wappy you can search for an item via the item groups, by clicking through the tile (photo of the item group) each time. This makes searching for a single item much more user-friendly.

Structuring item groups sensibly

It is not always easy to decide how best to structure your complete item library. That is why we have listed a few tips here.

1. Remember that an item can only be in ONE SINGLE item group. This means it is a good idea to subdivide by TYPE of item (e.g. insulation, wood, fittings, etc.) and not by the USE of that item (insulation can be used for a flat roof, a pitched roof, a wall, etc.)
2. You may be inclined to follow the structure of a supplier's webshop, but do check whether the items there could not belong to several item groups, otherwise you will quickly get stuck.
3. A handy approach is to base yourself on your warehouse: how are your items grouped there? That can serve as a basis for distinguishing your main item groups.
4. Do not go into too much detail, that will cause confusion rather than being useful
5. Your item structure is personal anyway and depends on your way of working: above all, make sure it is built up logically for your situation.
