Email ends up in spam
Emails that you send from Robaws can end up in the junk mail folder of your customer or supplier. Whether an email is seen as spam is decided by the mail server of the recipient, based on your sender domain and the content of the email. So you deal with this partly outside Robaws.
Test your sender with the email tester
Start with a test. That way you know straight away whether the problem lies with your domain or with the email itself.
- Go to mail-tester.com.
- Copy the test email address that appears there.
- Send an email from Robaws to that address, for example a quotation or an invoice.
- On the website, click 'Then check your score'.
If you score at least 8/10, your email account has been set up correctly. Lower? In that case the report tells you which points you can improve. Go through that report with the person who manages your email configuration.
What you can change yourself
In Robaws
- Switch off the tracking pixel via settings > email. A pixel is an image that is loaded from outside, and that is a signal spam filters look out for.
- Switch off the Robaws branding via settings > email. The note 'sent with robaws.be' at the bottom of your email then disappears.
- Send your emails via an email account of the type Microsoft (Office 365) or Google (Gmail). Your emails then leave via your own provider, which considerably increases your reliability with spam filters.
With your own mail provider
Make sure that SPF, DKIM and DMARC are set correctly for the domain you send from. Those settings help determine whether your emails are seen as reliable. They are managed with your own mail provider or in your DNS, not in Robaws. Check this with your IT administrator or with the party that manages your mail environment.
Do the emails still end up in spam after these steps? In that case first contact your mail provider with the report from the email tester. If something is going wrong on the Robaws side, you help us fastest with a screenshot of the report via support@robaws.com.
