10/09/2025 - System email outage

12:00 - UPDATE: the outage has been resolved. Emails will arrive normally again over the coming hours.

Robaws is currently experiencing problems sending some system emails. We are working to resolve this as quickly as possible
Below you find an overview of the possible impact and the temporary solutions.

Sending emails from Robaws

Impact:
There is only impact for email addresses that are linked via the email account type 'Robaws'. This concerns a small minority of users.
You can check which email account type you use via your user profile.

Solution:
At the moment no emails can be sent if the type is 'Robaws'. You can try to link your email via a different type of email account.

Sending invoices to your accountant

Impact:

  • if you use an integration, you are not affected
  • if you download the invoices, you are not affected
  • only if you forward the invoices in UBL format to a mailbox may you be affected.

Solution:
If you urgently need to forward invoices to your accounting software, you can temporarily **download **them in a zip file, and either email that file to your accountant or upload the invoices from the file into your accounting software yourself.
If this can wait, we recommend waiting until this outage has been resolved.

How?

  • Go to settings > invoices > settings > UBL and tick 'UBL download'.
  • Go to settings > incoming invoices > settings > UBL and tick 'UBL download'.
  • An extra 'UBL' action button now appears in the overview screen of the invoices and incoming invoices

Notification emails

Impact:

  • the notifications are always visible in Robaws; this is not affected
  • if you have ticked in your profile that you also want to receive the notifications by email, you will not receive any emails at the moment.

Solution:
For now we recommend following up the notifications in Robaws. You can find them on every screen via the bell in the top right.

Requesting a password reset

Impact:
At the moment no email can be sent to reset the password.

Solution:

  • Ask an admin within your company to set a new password for you in Robaws, so that you can log in. Once you are logged in, you can change your password yourself via your profile.
  • You can also ask our support team to do this via chat, email (support@robaws.com) or telephone (056/22 22 29)

Inviting a new user

Impact:
If you create a new user, that user normally automatically receives an email to set their password. At the moment this email is not sent.

Solution:
Set a password for the new user yourself.
