Self-billing via Peppol

In Robaws it is possible to receive self-billing invoices via Peppol. It is not possible to draw up and send self-billing invoices.

What is self-billing?

Self-billing (legal designation: "invoice issued by the customer") is a reversed form of invoicing: the customer invoices what they have purchased and sends the invoice to the supplier.

This is used by energy suppliers, for example: if you generate electricity with solar panels and sell the surplus of the electricity produced to an energy company, then it is easier for that energy company to draw up an invoice for this than it is for you. The energy company then sends you a self-billing invoice via Peppol, which you can simply book in your accounts. The energy company will pay this invoice.

Conditions

1. Self-billing cannot take place without your explicit consent: there always has to be an agreement between both parties involved.
2. In addition, you have to activate self-billing in Robaws. This is switched off by default.

Once both conditions have been met, your customer can send a self-billing invoice via Peppol, which will then come into Robaws as a sales invoice.

How do I activate self-billing in Robaws?

• go to settings > general > master data > company
• in the 'Peppol' section, click the 'set up self-billing' button. You only see this if your Peppol inbox is active.
• in the pop-up screen, tick self-billing > save
• fill in the journal for the self-billing invoices and credit notes > save
• an extra line 'self-billing active' appears under Peppol

How does self-billing work?

1. The customer sends you a self-billing invoice via Peppol.
2. It comes into your sales invoices and will be numbered according to the journal that has been set up.
3. You get a notification that a self-billing invoice has come in.
4. You can check this invoice, follow up the payment, and forward it to the accountant together with your other invoices.

Do not send this invoice (back) to the customer! This is not permitted.

How do I recognise a self-billing invoice?

• you can set up a separate status for self-billing invoices: settings > invoices > statuses > Status after receiving self-billing invoice
• in the invoice overview you can add a 'self-billing' column: it will be set to 'Yes' for these invoices
• if you open the pdf of a self-billing invoice, the text 'Invoice issued by the customer - (Vat Nr of the customer)' appears at the top right
• on a self-billing invoice you do not see the 'Peppol' button at the top (since you no longer have to send this invoice via Peppol)
• you can set up an automation flow to get a notification when a self-billing invoice is received

Questions

Can files come along with the invoice?

Yes, Robaws can receive files via Peppol that are sent along with the invoice. You find these on the invoice under the 'files' tab.
That is also where you find the original ubl invoice (.xml file)

Deviating invoice amount

Because of rounding differences it can exceptionally happen that the invoice total in Robaws differs by a few cents from the invoice total on the ubl. The total amount at the bottom right of the invoice is then shown in red. You can adjust it manually so that the amount matches the ubl.

Can I change my journal for self-billing afterwards?

Yes, you can do this via settings > general > master data > company. Click 'set up self-billing' to change the journal

Can I switch self-billing off again myself in Robaws?

Yes, you can, follow these steps:

1. go to settings > general > master data > company.
2. click the 'set up self-billing' button
3. in the pop-up screen, untick 'self-billing active' > save
4. attention: afterwards you also have to switch the Peppol inbox off briefly and switch it back on, otherwise self-billing has not been removed from the database
5. to do so, click 'change settings' > deactivate Peppol inbox.
6. then click activate Peppol inbox > fill in the journals > activate
