Accounting software without an integration: UBL download only (e.g. Expert M)

Robaws has a direct API integration with a number of accounting software packages. If you work with a package that is not in that list, you can still process your invoices from Robaws via UBL.

This article is about the accounting software packages that we do not integrate with and that do not work online. Such packages have no digital letterbox you can send the UBL to. The exchange then runs via UBL download: you download the UBL file of your invoices in Robaws and then import it into your accounting software yourself.

How does it work?

You do not activate anything in the accounting software itself. In Robaws you switch on the UBL download setting once, download a ZIP file containing the UBL(s) of your selected invoices and then import that into your accounting software yourself. You can switch the setting on separately for your sales invoices and for your incoming invoices.

Go through the following steps:

1. Activate this setting once in Robaws via settings > invoices (for your sales invoices) and/or settings > incoming invoices (for your incoming invoices), under UBL download
2. In the overview, select the invoices you want to download
3. In the overview, click the 'UBL' action button and choose whether you want to download only the 'Selection' (the selected invoices) or the full 'Search' (the current search result). Robaws bundles the UBL(s) into one ZIP file
4. Robaws first validates the invoices. If the validation succeeds, the ZIP file is downloaded. If it does not succeed, a window appears with the message that the export cannot go ahead
5. Import the ZIP file into your accounting software; the further processing takes place there

Further processing

Once you have downloaded the UBL files, the further processing takes place in your accounting software itself. Robaws helps you with the export of the UBL out of Robaws. For the import into your accounting software, it is best to contact the support desk of your accounting software.
