# Using overview screens

An **overview screen** shows you all items of a module at a glance, with exactly the data you need (customer, project number, contact person, etc.). The overview consists of columns based on standard fields and [extra fields](https://support.robaws.com/en/article/working-with-extra-fields-1vwszk1/). You decide yourself which columns you see and in which order.

With an overview screen you can:

1. [create different tabs](https://support.robaws.com/en/article/working-with-tabs-in-the-overview-screen-1uez0cm/) — for example a separate tab 'my quotations to follow up'
2. [filter with quick and advanced filters](https://support.robaws.com/en/article/using-filters-in-the-overview-screen-jhinln/) — for example a quick filter on the status of your invoices
3. [sort](https://support.robaws.com/en/article/sorting-in-the-overview-screen-1q64jwl/) — for example descending by date, so that the most recent quotation is at the top
4. [switch views](https://support.robaws.com/en/article/views-in-the-overview-screen-au7o3/) — for example your quotations as a kanban board instead of a table

|| Every module has a standard overview that is always visible to every user. Any changes you make to it stay personal: you work in your own version of that overview, and colleagues do not see your changes.

## Views

You can look at the same data in different ways: as a table, as a kanban board, on a map, as an analysis or financially. Which views you get depends on the module, and you switch between them with the action buttons at the top of the overview. Your tab, your filters and your search term simply stay in place.

## Making an overview public

An overview is either **private** or **public**. A new overview that you create is always private at first. Once you make it public, your colleagues can use it too.

There are two ways to do this:

2. The same action button sets a public overview back to private.

| You can also use a colleague's public overview yourself. Click **overviews** and choose an overview under **Shared by others**. Robaws makes a personal copy of it, so you can change it further without your colleague noticing anything.

## Exporting to Excel

Every overview can be exported to Excel using the **Excel** action button at the top.

Robaws exports whatever your **filters**, your **search term** and your **sorting** produce: the same lines as in your overview, in the same order. Two things do **not** affect the export:

* **Your columns.** Each module has a fixed set of columns, so that you always get the same file. Hiding or reordering columns in your overview makes no difference.
* **Your selection.** Ticking lines does not limit the export — if you only want part of it, use a filter.

| An export contains a maximum of 50,000 lines. If your overview holds more, use filters to export it in parts.

Besides those fixed columns, each module gives you some extra data, often on a separate tab:

| Module | What you get on top |
| ---- |
| Quotations | The name and ID of the end customer, plus a tab with the quotation lines and a tab with the remarks |
| Invoices | The diary and the diary code, the extra fields from the customer record and — if you have those settings switched on — the holdback and invoice period data |
| Projects | A tab with the article prices specific to that project (labelled 'Tarifs'), plus tabs with the construction partners and the remarks |
| Installations and equipment | The name and ID of the end customer, a tab with the remarks and one tab per certificate. For installations, the maintenance schedules are added |
| Stock changes | The extra fields of the stock change, and separate tabs with the extra fields of the item and of the equipment |

If you work with [extra fields](https://support.robaws.com/en/article/working-with-extra-fields-1vwszk1/), they are included in the export of every module. That also goes for an extra field of the customer or supplier type: in that case the name ends up in the column.

## Settings

Via **settings > module of your choice > overview** you set up the **standard overview**.

An overview that you created yourself, or that is set to public, is configured via the **settings** action button in the overview screen itself.
