# Price requests | Settings

Via **Settings > Price requests** you determine how the price requests module works: how much time your suppliers get, what they see on their portal, with which e-mails you write to them and with which templates you start a price request. This page is only visible to administrators. Your changes are saved as soon as you leave the page. Also take a look at the [general settings](https://support.robaws.com/en/article/general-settings-1han2yn/): they have an impact on several modules, and therefore on your price requests as well. How to work with price requests is explained in [Price requests | General](https://support.robaws.com/en/article/drawing-up-a-price-request-for-a-supplier-yjcgyu/).

| Are you starting with price requests? Then first create a [template](#2-templates) and a [supplier email template](#2-supplier-email-templates) with the link to the portal. Without a template you cannot create a price request.

## Overview

Here you determine what the views of the **overview screen** of your price requests look like. What you change here applies to every user. In addition, every user can still create and set up their [own overviews](https://support.robaws.com/en/article/using-overview-screens-10zscoo/).

| Setting | Explanation |
| ---- |
| Quick filters | Choose which [filters](https://support.robaws.com/en/article/using-filters-in-the-overview-screen-jhinln/) are ready by default in your overview. |
| System view | Choose which columns you want in the **table view**, and in which order. |
| Card info | Set the title, the subtitle and the fields of the card in the [kanban view](https://support.robaws.com/en/article/views-in-the-overview-screen-au7o3/). A maximum of 8 fields in total. |
| Tags | Set up labels that appear on a card as soon as a price request meets your condition. At most 10 per module. |

Card info and tags apply to the whole environment. You set the columns separately per overview.

## Settings

At the top of this card you [change the number](https://support.robaws.com/en/article/changing-a-document-number-zlc0jx/) of the next price request via **Change next number**.

| Setting | Explanation |
| ---- |
| Show post nr. | Show the column with the post number with the lines of the price request and on the supplier portal. |
| Show line nrs. | Show the column with the line number with the lines of the price request and on the supplier portal. |
| Include item name on price request, Show supplier discount, Prefer calculation cost price | These switches currently have no effect on your price requests. |
| Use introduction & footer text | Put an introduction and a closing above and below the lines of the price request. Your supplier sees them on their portal. You create fixed texts under [Standard texts](#2-standard-texts). |
| Submission period for offers | The number of days after creating a price request on which the **Due date** falls. 30 days by default. |
| Extra period after submission due date | The number of days after the due date on which the **Deadline date** falls: the last day on which a supplier can still respond on the portal. 5 days by default. |
| Contact info | The contact details your supplier sees on their portal. Use [replacement codes](https://support.robaws.com/en/article/replacement-codes-1omjlni/#2-price-requests) of the assignee, for example **${assignee}**, **${assigneeEmail}** and **${assigneeTel}**, so that the supplier always contacts the right person. |

## Extra fields

As in all modules in Robaws, you can also create [extra fields](https://support.robaws.com/en/article/working-with-extra-fields-1vwszk1/) of your choice for a price request.

## Standard texts

Create [fixed texts](https://support.robaws.com/en/article/can-i-create-a-standard-introduction-or-closing-un4zoz/) here that you choose as the introduction or closing on a price request, for example your conditions for subcontractors. You only see them if **Use introduction & footer text** is switched on.

## Pdf

| Setting | Explanation |
| ---- |
| Templates | [Set up one or more PDF templates](https://support.robaws.com/en/article/deciding-what-appears-on-your-pdf-e26zjo/) for your price requests: which columns appear on the PDF, in which layout, and which header appears at the top, also in other languages. Per template you determine, among other things, whether the introduction and the closing appear on it and whether the extended description of the lines appears on it. Your templates appear on the price request file under the **Pdf** action button. |

## Statuses

Create the [statuses](https://support.robaws.com/en/article/working-with-statuses-q7rtmv/) of your price requests here and give every status a colour for the overview. A new price request gets the status of the [template](#2-templates) from which you create it.

| Setting | Explanation |
| ---- |
| Status upon approval | The status the price request gets as soon as you approve a supplier. If you leave this empty, the status stays unchanged. |

These are the statuses of the price request itself. Robaws changes the status of each supplier (To be sent, Sent, ...) itself, see [The status of a supplier](https://support.robaws.com/en/article/drawing-up-a-price-request-for-a-supplier-yjcgyu/#3-the-status-of-a-supplier).

## Templates

You always create a new price request from a template. A template is an example price request in which you already record what is the same for every new price request of that kind, such as the status, fixed lines or the suppliers you always write to. A new environment does not have a template yet. As long as there is no template, you cannot create a price request.

1. Click **Add** and give the template a name.
2. Choose **Create blank template** to start from an empty price request, or **Choose existing** to take an existing price request as an example.
3. Via **Edit template** you fill in the fields of the template.

If you change a template later, nothing changes in the price requests you already made with it.

## Default documents

Set up the [default documents](https://support.robaws.com/en/article/creating-a-contract-or-extra-default-document-qitho/) that you want to use from a price request here, for example a framework contract for subcontractors. They appear on the price request file under the **Default documents** action button.

## General email templates

Create the [email templates](https://support.robaws.com/en/article/email-template-1r656oh/) here for e-mails about the price request that do not need a personal portal link, for example the PDF of the price request. You choose them on the price request file via the **E-mail** action button. Per template you also determine which status the price request gets automatically after sending and after the e-mail has been read.

## Supplier email templates

With a supplier email template you send an e-mail to one supplier, or to all suppliers of a price request at once. Every supplier gets their own e-mail. Put the replacement code **${portalLink}** in the text: it becomes the personal link to the supplier portal of that supplier. As soon as you send such an e-mail, the supplier gets the **Sent** status. Per template you also determine which status the price request itself gets automatically after sending and after the e-mail has been read.

For example, create a template to send the price request, one to remind a supplier and one to let them know they are getting the job. You choose them on the line of a supplier via **Send email**, or at the top of the file via the **E-mail** action button.
